When applying to a UK university, the discovery that school grades alone are not enough to gain entry onto the programme of your choice can come as an unwelcome surprise. This is especially true for international students, many of whom see the words 'personal statement' for the first time when starting their university application.

But far from being a barrier, the personal statement is, in fact, one of the stepping stones to achieving your goal of studying at a UK university.

A personal statement can help you stand out

If you have selected your study programme well – that is to say, you have chosen something that you are truly excited about that matches your academic profile – then the personal statement is simply a way to communicate to admissions tutors why you are interested in the programme and what you can bring to it. And given the fact that many universities receive multiple applications for each available place, and that most do not offer an interview, your written statement is often the only way you can express your personality and say 'choose me!'.

The 'personal' in 'personal statement' suggests that you should be allowed to express yourself however you want, right? Well, to a certain extent that is true: admissions tutors want to get a picture of you, not your parents, your teachers or your best friend, so it has to be your work. However, the purpose of the statement is to persuade academic staff that they should offer you one of their highly sought-after university places; although there is no strict template for this, there are specific things you should include and certain things you should most certainly leave out.

The importance of the opening paragraph

The online Universities and Colleges Admissions Service (UCAS) undergraduate application form allows a total of 4,000 characters (around 700 words), meaning that you need to craft the statement carefully. The most important part is unquestionably the opening paragraph, as it acts as an invitation to continue reading. If you are not able to catch the attention of the admissions tutor, who has hundreds of statements to assess, then it is highly unlikely they will read through to the end.

The best advice here is to avoid much-used opening lines and clichés such as 'I have wanted to be an engineer since I was a child'. This kind of thing is not the invitation readers are looking for. Instead, try using an anecdote, experience or inspirational moment: 'Although tinkering with engines had always been a childhood hobby, it was the vision of the fastest car on earth, the Bloodhound, at an exhibition in London, that roused my desire to learn everything I could about automotive engineering'. Really? Tell me more!

Provide evidence of your commitment and skills

Following on from that, you have to provide evidence of your passion and commitment to your chosen programme, and highlight the specific and transferable skills you possess to study it successfully. You can do this by following the  ABC  rule.

Action:  Include examples of what you have done, experienced or even read that have helped you in your choice of degree and boosted your knowledge of the subject area.

Benefit : By doing these things, explain what you learned or gained; in the case of a book or article, put forward an opinion.

Course : The most successful applicants ensure that the information they include is relevant to their course in order to highlight their suitability. Flower-arranging may allow you to realise your creative potential, but will it help you study astrophysics?

It is perfectly acceptable to base this ABC rule on school-based activities, as not all students have opportunities outside the classroom. However, if you can link extra-curricular pursuits to your desired programme of study, you are further highlighting your commitment. As a general rule of thumb, the information you include here should be around 80 per cent academic and 20 per cent non-academic. So, for example, as a member of the school science club – a non-curricular, academic activity – you may have developed the ability to analyse data and tackle problems logically. Taking part in a work placement falls into the same category and could have helped you develop your communication, time-management and computer skills. You get the idea.

Non-academic accomplishments may involve music, sport, travel or clubs and can lead to a variety of competencies such as team-working, leadership, language or presentation skills. A word of warning here: it is vital that you sell yourself, but arrogance or lies will result in your personal statement landing in the 'rejected' pile. Keep it honest and down-to-earth.

Provide a memorable conclusion

Once you have emphasised your keen interest and relevant qualities, you should round off the statement with a conclusion that will be remembered. There is little point putting all your effort to generate interest in the opening paragraph only for your statement to gradually fade away at the end. A good conclusion will create lasting impact and may express how studying your chosen course will allow you to pursue a particular career or achieve any other plans. It can also underline your motivation and determination.

Use a formal tone, stay relevant and be positive

As you have to pack all this information into a relatively short statement, it is essential to avoid the superfluous or, as I like to call it, the 'fluff'. If a sentence sounds pretty but doesn’t give the reader information, remove it. In addition, the tone should be formal and you should not use contractions, slang or jokes; remember, the statement will be read by academics – often leaders in their field.

Referring to books is fine but don’t resort to using famous quotes as they are overused and do not reflect your own ideas. Also, while it's good to avoid repetition, don't overdo it with the thesaurus.

Negativity has no place in a personal statement, so if you need to mention a difficult situation you have overcome, ensure you present it as a learning experience rather than giving the reader an opportunity to notice any shortcomings. Also, bear in mind that your personal statement will probably go to several universities as part of a single application, so specifically naming one university is not going to win you any favours with the others.

Get some help but never copy someone else's work

Checking grammar, spelling and flow is essential and it is perfectly OK to ask someone to do this for you. A fresh pair of eyes and a different perspective always help, and, as long as the third party does not write the content for you, their input could be of vital importance. And while you may get away with not sticking to all of the above advice, there is one thing that you absolutely must not do: copy someone else’s work. Most applications are made through UCAS, which uses sophisticated software to detect plagiarism. If you are found to have copied content from the internet, or a previous statement, your application will be cancelled immediately. Remember, it is a  personal  statement.

Get your ideas down in a mind-map first

Finally, I will leave you with my top tip. If you understand all the theory behind the personal statement and have an abundance of ideas floating in your head, but are staring blankly at your computer screen, take a pen and paper and make a simple mind map. Jot down all your experiences, activities, skills, attributes and perhaps even include books you have read or even current items that interest you in the news. Then look for how these link to your course and highlight the most significant elements using arrows, colours and even doodles. Capturing thoughts on paper and making logical deductions from an image can give structure to your ideas.

Appealing a school's decision.

You’ll be sent a letter with the decision about your child’s school. If your child is refused a place, you can appeal against the decision. The letter will tell you how.

You must appeal against each rejection separately. You can only appeal once against each rejection.

Preparing your appeal

The admission authority for the school must allow you at least 20 school days to appeal from when they send the decision letter.

The admission authority will set a deadline for submitting information and evidence to support your appeal. If you submit anything after the deadline, it might not be considered and may result in delays to your hearing.

Child Law Advice may be able to give you advice about appeals.

When the hearing will be

The admission authority must give you at least 10 school days’ notice of the hearing.

Appeals must be heard within 40 school days of the deadline for making an appeal.

What happens at the appeal hearing

There’s a panel of 3 or more people at the appeal hearing. The panel must be independent and must follow the school admission appeals code .

The admission authority will explain why they turned down your application.

You’ll be able to give your own reasons why your child should be admitted.

The appeals panel must decide if the school’s admission criteria were properly followed and comply with the school admissions code .

If the criteria were not properly followed or do not comply with the school admissions code your appeal must be upheld.

If your reasons for your child to be admitted outweigh the school’s reasons for not admitting any more children at all, your appeal will be upheld.

You will usually be sent the decision within 5 school days.

Appeals for infant classes

You need to go through the same process if you’re appealing a decision about an infant class. In reception, year 1 and year 2, the class size is limited to 30. Your application can be turned down if all the classes already have 30 children.

Your appeal could be successful if:

  • giving your child a place will not increase the class size above the limit
  • the admission arrangements have not been properly followed
  • the admission criteria do not comply with the school admissions code

This checklist offers some guidance on how you could structure your application to your local authority for delaying or deferring your child's start to primary school. Including the information in this checklist can help support your application. You might find it useful to use the bullet points as sections for your application letter.

Local authorities and school admissions boards all do things slightly differently across the UK. If you want to defer or delay your child’s primary school place, you should contact your local authority. They will tell you what you need to do and when the application needs to be completed by.

If you live in England, Wales or Northern Ireland, it is likely that you will be asked to:

  • Explain why your child should be educated outside of their normal age group.
  • Provide evidence to support your request.

Remember: admission authorities should consider the age group a child would have fallen into if they were born at full term.

The authority is also required to make a decision based on the circumstances of the case and in your child’s best interests.

1. Explain why your child should be educated outside of their normal age group

Tell the authority why you are asking for your child’s school place to be delayed/deferred and why you think this is the best outcome for your child.

Things you might include:

  • Their expected birth date and actual birth date. Your application is more likely to be given serious consideration if your premature child was born:

- 1 June to 31 August (England and Wales)

- 1 April to 1 July (Northern Ireland)

  • Information about their premature birth and early life experiences, such as the time they spent in neonatal care.
  • Any conditions they have been diagnosed with, such as ADHA or autism.
  • Any challenges you have noticed, such as difficulties communicating, poor coordination, or issues with self care (e.g. getting themselves dressed).

2. Evidence (documents) that support your views

  • Statements from keyworkers in your child's early life, such as social workers, nursery staff or other early years providers who have cared for your child.
  • Copies of letter from any medical professionals involved in their care. This might include:

- Consultant or specialist (e.g. paediatrician or neurologist)

- Speech and language therapist

- Occupational therapist

- Physiotherapist

- Educational psychologist

  • Statement or letter from a headteacher, SENDCo or any other staff from the school or schools you would like your child to attend.
  • Copy of an Educational Health Care Plan (EHCP) , Health Care Plan, Coordinated Support Plan or Statement of Special Educational Needs.
  • Copy of Bliss' letter of support for delaying or deferring places for premature summer-born or young for year babies.

Firstly, don’t panic. It can feel very disappointing but do try not to involve your child in any of this – if she senses that you don’t like the school but still ends up going there, you could be creating trouble for yourself come September.

Secondly, accept the place you have been offered. You might hate the idea but at least your child will have a place somewhere in September. That’s better than her having no school place when all her friends start. Be assured that accepting the place you’ve been offered will not have any bearing on the outcome of your appeal and rejecting it will not improve your chances of success at appeal either.

Thirdly, get on the waiting lists for any school(s) you wanted. Let the local authority know that’s what you want and, although the schools themselves don't have any influence over whether your appeal is successful, you could just give them a quick call once the dust has settled, to make sure you're on their waiting list. You should automatically go on the list having been rejected but there’s no harm in making sure – do give it a few days though, as they'll likely be inundated with calls straight after the allocations have been sent out.

Finally, take a moment to remind yourself that it isn’t the end of the world, even if you can’t change the decision, but you do have the chance to appeal, so you need to maximise that opportunity.

How do you appeal a primary school place.

When you get the letter telling you which school your child has been allocated it will include details of how to appeal, including the deadline for lodging an appeal. The rejection letter you receive will explain why admission has been refused, and will have information about how to appeal, including the deadline for lodging your appeal. Read all this thoroughly and make sure you are following all instructions to the letter.

You need to appeal in writing to the local authority, and you will have to make separate appeals if you're appealing against rejections from several different schools. You can appeal just one or all of them if you wish, but each is a separate case and will go to a separate appeal.

What are the grounds for appealing a primary school decision?

Unfortunately, you can’t appeal just because you don’t like the choice. There are very specific criteria for appeals. You can appeal a rejection from a school if you can show that:

The school's admission arrangements haven't been followed

The admissions criteria don't meet the School Admissions Code

The decision to refuse your child a place wasn't reasonable

Do your homework very thoroughly – check previous admission numbers, the distance from school of the last child offered a place etc – you may find an error.

How to win a primary school appeal

The first two criteria (above) are the least likely to apply but if they do, they’re probably the easiest way to win because it will be a fairly black and white issue. So before you worry about anything else, double-check for obvious mistakes. For example, has the distance between your home and the school been measured correctly?

Check what the admissions procedure was and check the School Admissions Code. If either were breached, you’ve got a good case.

The last point (that the decision was unreasonable) is most open to interpretation so it may well be the one you want to appeal with, but you’ll need to have a really solid argument so make sure you get all the help with your appeal that is available.

If yours is an Infant Class Size (ICS) appeal (ie where the school admits in classes of 30) you'll win only if you can show there was an error which deprived your child of a place or the decision to refuse a place was so unreasonable that it should be overturned.

If you've been allocated a place at a school you didn't name on the application form, or one that's outside your catchment area, don't assume this is a mistake. With class sizes for five- to seven-year-olds in England and Wales limited to 30 children or fewer, your application may be refused if places have been oversubscribed if all 30 places have already been filled.

When and where will the appeal take place?

The 'admission authority' (ie the school itself or your local council) has to give you at least 10 school days' notice before the hearing to confirm the date. Appeals have to be heard within 40 school days of the appeal deadline. The appeal will be heard by three volunteers on ‘neutral’ ground.

What happens at a primary school admissions appeal hearing?

The admission authority will state why your child has been refused a place and then you'll be given the opportunity to explain why you believe your child should be admitted to the school.

Your appeal is heard by a panel of three people who must be independent. The panel's job is to decide if the school's admission criteria are legal and were followed properly. If they were, they then have to decide if the criteria were adhered to fairly and thoroughly.

If the panel decides the admissions criteria weren't properly followed or are illegal, your appeal will be upheld.

When will I get the result of the appeal hearing?

The panel will send you (and the admission authority) its decision in writing within five school days.

You may also be able to apply to appeal again if you think there has been a change in your circumstances that could affect the original decision.

And never say never – other parents' circumstances change (house moves, new jobs etc) and if your child is top of the school waiting list, in time a place could become vacant.

Ultimately, if your child can't go to the primary school attached to their pre-school, or where all their little friends from nursery are going, it can feel like very hard. But remember that it probably feels much worse to you than to your child. How should I appeal?

You should appeal in writing stating your reason/s. Most schools use a standard form and they can sometimes appear complex. Please remember that you can also appeal for more than one school. Use our template letters for assistance.

When is the deadline?

Your decision letter or email should make it clear on how to appeal. If it doesn’t, then you will need to check the school’s website or contact the local authority to find out what you need to do.

The deadline should also be on the school or local authority (council) website and must be at least 20 school days after the decision letter. Weekends and School holidays don’t count towards this deadline. Therefore if it is shorter, you should challenge the deadline.

Submit your appeal letter

Use one of our template letters to submit your appeal. Some local authorities will ask you to fill in a form to start the appeals process, however others ask you to send a letter. What happens after I have submitted my appeal?

Once you have sent in the letter or form you will be given a date for your appeal panel hearing. You should be notified of this date at least 10 days in advance .

What to do in the meantime?

  • Accept the place you have been offered . If your appeal is unsuccessful your child might be left without any school. You can always reject the place later on if you get another place you prefer.
  • Ask to visit the school you been offered and visit during a school day. Create a list of concerns and question to discuss with a member of staff. This will help you get the full picture in case your child ends up at the school.
  • Stay calm and positive.

What happens before the appeal hearing?

You should find out when you hearing is at 10 days before the date. This notification will detail you right to call any witnesses to the hearing and will provide a deadline to submit any further information or evidence you would like the panel to take into consideration.

The local authority of the school itself will also submit documents explaining their case for refusing your child’s place.

What happens at the appeal panel hearing?

At the appeal panel hearing there will be between 3 and 5 members of public. They will assess your case and will know why your initial application was declined. They will then check the admission arrangement complied with the school admissions code. You will then be asked to explain why you are appealing against the schools admission decision.

At the hearing you will need to explain the reasons why you believe the school is the best one for you child and any circumstances that will add support to your application.

What happens after the appeal panel hearing?

After the appeal, the panel will make a decision of whose case is the strongest. You will be told the result by post within seven days. Once a decision has been given it will be legally binding .

If you are successful, then your child will be admitted into the school. However even if your appeal is unsuccessful, you can still add your child to the waiting list for that school.

What are the chances of winning my appeal?

If in fact the admission arrangements weren’t properly followed, or they were not legal according to the –  School Admissions Code , or the decision is ‘unreasonable,’ then your son or daughter could be given a place by the appeal panel.

The stats though depend on the type of appeal e.g. primary, secondary, ‘in year’ or infant class size appeal. It also depends on how you put across your arguments and the strength of them.

Can I appeal myself or do I need legal advice?
