What are headings?

Headings in your paper help organize your argument and signal to your reader what type of information is in each section. 

APA provides 5 levels of headings and sub-headings. Most student papers are not long enough to use all five levels. 

  • Use the title of your paper in a Level-1 Heading at the top of the first page. Do not start your paper with the heading “Introduction”.
  • Do not add extra line spacing (blank lines) above or below headings.

Section Labels:

Labels separate the different parts of a paper. They are formatted the same as level-1 headings but are not  headings. Each section of a paper begins on a new page. Start each new section with a label at the top of a new page. Common sections include: 

  • The Title of Your Paper
  • Appendix A (and so on for subsequent appendices)

What are headings?

Headings, sections, subsections, or levels of subordination are a style of dividing your research paper into major parts, then minor subsections. Most college papers do not need headings, especially if you are only producing two to five pages. However, if your professor requests you use headings or your are writing an especially long or detailed paper, then use headings to help readers navigate your text. Follow the APA style rules for creating the correct level of heading. Always start with a level one heading and drill down to the last subsection possible (five) in order as seen below. Instructions and examples for headings are available on p. 47- 49 of the new APA 7th Edition manual.

Proper Title Case vs. lowercase paragraph heading

Proper title case is using both uppercase and lowercase letters in a title. It calls for the major words to be capitalized while any small conjunctions are made smaller, i.e., 

The Title of this Paper is Lengthy

Lowercase paragraph heading calls for the first word to be capitalized along with any proper nouns contained within the heading, i.e., 

        The title of this heading is much shorter and all lowercase except for the first word.

Paper Set Up

APA has a number of rules for setting up an APA style paper that your instructor may want you to follow. The following information came from the 7th edition of the APA Manual. See the page number that follows each style rule for more information.

Margins - 1 inch all sides, including top, bottom, left and right (Sect. 2.22, p. 45)

Font preference and size - Most instructors prefer the font set at 12-pt Times New Roman. However, APA does allow for other font types and sizes, including Calibri 11-point, Arial 11-point, Lucida Sans Unicode 10-point, or Georgia 11-point. Consult your instructor for their preferences. (Sect. 2.19, p. 44)

Line Spacing - Double spacing should occur throughout the entire document, including title page, reference list, and quotations of 40 or more words. NOTE: There are a few exceptions. (Sect. 2.21, p. 45)

Page Numbers - Page numbers should be located in the right corner of the header unless specified differently from your instructor. Be sure to include a page number on the title page, too! (Sect. 2.18, p. 44)

Paragraph Indentation - Paragraphs should be indented 1/2 inch. For consistency throughout the paper, click your Tab key one time. (Sect. 2.24, pp. 45-46)

APA Section Labels

Organization of an apa paper.

APA style includes section levels to organize the pages or major sections of the paper. Each new of these new pages or sections should begin on a new page. An APA paper should be organized as follows

  • Title page - begins on page 1
  • Abstract - begins on page 2 ( NOTE : This is optional for most course papers. Review your assignment instructions or contact your instructor to determine whether or not an abstract should be included in your paper. )
  • Body or text of the paper - begins on page 3 (if there is an abstract) OR page 2 (if there is no abstract)
  • References - begins on the first page after the text of the paper
  • Appendices - begins on the first page after the references. Additionally, if there is more than 1 appendix, each appendix should begin on a new page. ( NOTE : This is optional for most course papers. Review your assignment instructions or contact your instructor to determine whether or not an appendix should be included in your paper.)

Note : there are options for additional sections that may be added to an APA paper. The sections outlined above are the pages or sections most commonly found in a course paper.   

Starting a New Page

When starting a new page or section of the paper, you are advised to include a page break or section break (in Word press CTRL + ALT + Delete all at one time). Do not click "Enter" until you get to a new page. This may cause problems with the accessibility of your paper or throw off your formatting of the paper if you add or delete information from your paper.   

Section Labels

To begin a new page or section, include a section label. For abstracts, the body of the paper, references, and appendices, the section label should be located on the very first line of the new page. The section label should be bold and centered. Additionally, capitalize all major words. 

The section label for each new page or section is as follows:

  • Title page = the title of your paper (begin 3-4 double spaces from the top of the page)
  • Abstract = Abstract
  • Body or text of the paper = the title of your paper (use proper title case - all major words are capitalized)
  • References = References (if there is only 1 reference label it as Reference)
  • Appendix = Appendix (if only 1 appendix). If there is more than 1 appendix, add a letter after "Appendix." (e.g., Appendix A, Appendix B, etc.)

APA Headings

To organize the parts within the body of your paper, APA has five different levels of headings. Think of these levels similar to what an outline has and how the main topics have Roman numerals, subtopics have capital letters, the next level has Arabic numbers, and so on.

When considering the addition of headings to your paper, APA instructs that you should only add a heading if there will be 2 or more subsections using the same level heading. If you do not have at least 2 subsections using the same level heading, then do not include headings for the subsection. See Section 2.26 on page 47 for more information.  

Be aware that not all papers will require the use of headings. Ask your professor if they wish to have you use headings in your paper. Long, formal papers should have headings especially if they include an abstract at the beginning.

Here are the five levels and how they should be formatted: 1. Centered, Boldface, Uppercase and Lowercase Heading - Begin the text on a new line as a new paragraph. 2. Left-aligned, Boldface, Uppercase and Lowercase Heading  - Begin the text on a new line as a new paragraph.  3. Left-aligned, Boldface, Italicized, Upper and Lowercase Heading   - Begin the text on a new line as a new paragraph.  4. Indented, Boldface, Upper and Lowercase Heading, Ending With a Period . Begin the text on the same line as the heading and continue as a regular paragraph. 5. Indented, Boldface, Italicized, Upper and Lowercase Heading, Ending With a Period . Begin the text on the same line as the heading and continue as a regular paragraph.

Reference List

Always start your reference list on a new page.

Page title - The word References should appear centered at the top of the page and in bold. If you have only 1 citation the title should be Reference. (Sect. 9.43, p. 303)

Line Spacing - Double space between each line. (Sect. 9.43, p. 303)

Alignment - The first line of each entry should align with the left margin. All subsequent lines should be formatted with a hanging indent set at 1/2 inch. (Sect. 9.43, p. 303)

Order of entries - Alphabetical order by author. If there is no author, use the title of the document. If you have more than one entry by the same author, then arrange by year beginning with the earliest publication. (Sect. 9.44, p. 303, Sect. 9.48 & Sect. 9.49, p. 306)

Setting Up Your Paper: Formatting Rules

APA Style has specific rules about the format of your paper.  Be sure to select one of the six approved font styles, and set margins and line spacing as follows:

  • Calibri, 11 point
  • Arial, 11 point
  • Lucida Sans Unicode, 10 point
  • Times New Roman, 12 point
  • Georgia, 11 point
  • Computer Modern, 10 point
  • ​ Double space entire document including cover page and References list
  • ​ One inch margins at top, bottom, left, and right of page (Word default setting)
  • First line in paragraphs indented 1/2 inch (one stroke of the tab key)
  • ​ Pages are numbered in the header, flush right, beginning with the title page

Body of the Paper

Formatting basics.

Components of a Research Paper

One of the goals of the APA Style is to present information in a clear, concise, and logical manner.  One way to achieve this is by organizing content through the use of  Headings .  APA utilizes five levels of headings within the text of the paper:

The References List

In academic writing, resources found through the research process are used to support positions, claims, and points made in a paper or essay.  All sources cited within the text of the paper are listed alphabetically in the reference list.  References provide the reader with information needed to access the source material.  The reference list is its own page and appears at the end of the paper.   

An APA reference is composed of four elements:

APA provides different guidelines for student and professional papers. The student version of the APA title page should include the following information (double spaced and centered):

Paper title

  • Author name
  • Department and university name
  • Course number and name
  • Instructor name
  • Due date of the assignment

The professional title page also includes an author note (flushed left), but not a course name, instructor name, or due date.

Write an informative, striking title that summarizes the topic of your paper. Try to keep the title focused and use relevant keywords.

Place the title three or four lines down from the top of the paper. Center align and bold it. Don’t forget to use title case capitalization (capitalize the first letter of each word, except small words such as articles and short prepositions).

Write the author’s name under the paper title (leave a blank line in between). Give their full names (first name, middle initial(s) and last name), but don’t include titles (Dr., Prof.) or degrees (Ph.D., MSc).

List the authors in order of their contribution. If there are two authors, separate their names with the word “and”, like this:

If there are more than two authors, separate their names with a comma. Only write “and” before the last author, like this:

Write the author’s affiliation on the next line under the author names. Students should specify the department and institution where they’re attending school. Professional researchers should specify the department and institution where they conducted their research.

Use superscript numbers on the author line to indicate which institution they’re affiliated with. Don’t use superscript numbers if all authors are affiliated with the same institution (and department).

On a student title page, provide information about the course. List the following information on separate (double spaced) lines under the author’s affiliation:

  • Instructor(s)
  • Assignment’s due date

For professional papers, you may include an author note. This note may contain the author’s ORCID iD, affiliation changes, disclosures of conflicts of interest, brief acknowledgments, and contact information (in that specific order). Present this information in separate paragraphs.

Place the author note on the bottom half of the page. Center the label “Author note” and apply bold styling. The paragraphs in the author note are left-aligned. The first line of each new paragraph is indented.

For a student title page, the page header consists of just a page number in the top-right corner. There is no need for a running head (as was the case in APA 6th edition).

A professional title page does have a running head. The running head is an abbreviated version of the paper title in all capital letters. The maximum length is 50 characters (counting spaces).

Images are not usually included on an APA title page, and APA does not provide any guidelines for doing so. It’s usually viewed as unprofessional to include an image, since the title page is there to provide information, not for decoration.

If you do decide to include an image on your title page, make sure to check whether you need permission from the creator of the image. Include a note directly underneath the image acknowledging where it comes from, beginning with the word “ Note .” (italicized and followed by a period):

  • If you found the image online or in another source, include a citation and copyright attribution .
  • If it’s an image you created yourself (e.g., a photograph you took, an infographic you designed), explain this (e.g., “Photograph taken by the author.”).

Don’t give the image a label, title, or number. Only images within the text itself are labeled as figures .

  1. Headings

    There are five levels of heading in APA Style. Level 1 is the highest or main level of heading, Level 2 is a subheading of Level 1, Level 3 is a subheading of Level 2, and so on through Levels 4 and 5. The number of headings to use in a paper depends on the length and complexity of the work. If only one level of heading is needed, use Level 1.
