Writing a paper: outlining, outlining strategies.

Outlining your first draft by listing each paragraph's topic sentence can be an easy way to ensure that each of your paragraphs is serving a specific purpose in your paper.  You may find opportunities to combine or eliminate potential paragraphs when outlining—first drafts often contain repetitive ideas or sections that stall, rather than advance, the paper's central argument .

Additionally, if you are having trouble revising a paper, making an outline of each paragraph and its topic sentence after you have written your paper can be an effective way of identifying a paper's strengths and weaknesses.

Example Outline

The following outline is for a 5-7 page paper discussing the link between educational attainment and health. Review the other sections of this page for more detailed information about each component of this outline!

I. Introduction

A. Current Problem: Educational attainment rates are decreasing in the United States while healthcare costs are increasing. B. Population/Area of Focus: Unskilled or low-skilled adult workers C. Key Terms:   healthy, well-educated   Thesis Statement: Because of their income deficit (cite sources) and general susceptibility to depression (cite sources), students who drop out of high school before graduation maintain a higher risk for physical and mental health problems later in life.

II. Background

A. Historical Employment Overview: Unskilled laborers in the past were frequently unionized and adequately compensated for their work (cite sources). B. Historical Healthcare Overview: Unskilled laborers in the past were often provided adequate healthcare and benefits (cite sources). C. Current Link between Education and Employment Type: Increasingly, uneducated workers work in unskilled or low-skilled jobs (cite sources). D. Gaps in the Research: Little information exists exploring the health implications of the current conditions in low-skilled jobs.

III. Major Point 1:  Conditions of employment affect workers' physical health. 

A. Minor Point 1: Unskilled work environments are correlated highly with worker injury (cite sources). B. Minor Point 2: Unskilled work environments rarely provide healthcare or adequate injury recovery time (cite sources).

IV. Major Point 2: Conditions of employment affect workers' mental health

A. Minor Point 1: Employment in a low-skilled position is highly correlated with dangerous levels of stress (cite sources). B. Minor Point 2: Stress is highly correlated with mental health issues (cite sources).

V. Major Point 3: Physical  health and mental health correlate directly with one another.

A. Minor Point 1: Mental health problems and physical health problems are highly correlated (cite sources). B. Minor Point 2: Stress manifests itself in physical form (cite sources)

VI. Major Point 4: People with more financial worries have more stress and worse physical health.

A. Minor Point 1: Many high-school dropouts face financial problems (cite sources). B. Minor Point 2: Financial problems are often correlated with unhealthy lifestyle choices such unhealthy food choices, overconsumption/abuse of alcohol, chain smoking, abusive relationships, etc. (cite sources).

VII. Conclusion

A. Restatement of Thesis:  Students who drop out of high school are at a higher risk for both mental and physical health problems throughout their lives. B. Next Steps:  Society needs educational advocates; educators need to be aware of this situation and strive for student retention in order to promote healthy lifestyles and warn students of the risks associated with dropping out of school.

Introduction/Context

Your introduction provides context to your readers to prepare them for your paper's argument or purpose.  An introduction should begin with discussion of your specific topic (not a broad background overview) and provide just enough context (definitions of key terms, for example) to prepare your readers for your thesis or purpose statement.

Sample Introduction/Context: If the topic of your paper is the link between educational attainment and health, your introduction might do the following: (a) establish the population you are discussing, (b) define key terms such as healthy and well-educated , or (c) justify the discussion of this topic by pointing out a connection to a current problem that your paper will help address.

Thesis/Purpose Statement

A thesis or purpose statement should come at the end of your introduction and state clearly and concisely what the purpose or central argument of your paper is. The introduction prepares your reader for this statement, and the rest of the paper follows in support of it.

Sample Thesis Statement: Because of their income deficit (Smith, 2010) and general susceptibility to depression (Jones, 2011), students who drop out of high school before graduation maintain a higher risk for physical and mental health problems later in life.

After the initial introduction, background on your topic often follows. This paragraph or section might include a literature review surveying the current state of knowledge on your topic or simply a historical overview of relevant information. The purpose of this section is to justify your own project or paper by pointing out a gap in the current research which your work will address.

Sample Background: A background section on a paper on education and health might include an overview of recent research in this area, such as research on depression or on decreasing high school graduation rates.

Major & Minor Points

Major points are the building blocks of your paper. Major points build on each other, moving the paper forward and toward its conclusion. Each major point should be a clear claim that relates to the central argument of your paper.

Sample Major Point: Employment and physical health may be a good first major point for this sample paper.  Here, a student might discuss how dropping out of high school often leads to fewer employment opportunities, and those employment opportunities that are available tend to be correlated with poor work environments and low pay.

Minor points are subtopics within your major points. Minor points develop the nuances of your major points but may not be significant enough to warrant extended attention on their own. These may come in the form of statistics, examples from your sources, or supporting ideas.

Sample Minor Point: A sample minor point of the previous major point (employment and physical health) might address worker injury or the frequent lack of health insurance benefits offered by low-paying employers.

The rest of the body of your paper will be made up of more major and minor points. Each major point should advance the paper's central argument, often building on the previous points, until you have provided enough evidence and analysis to justify your paper's conclusion.

More Major and Minor Points: In this paper, more major points might include mental health of high school dropouts, healthcare access for dropouts, and correlation between mental and physical health. Minor topics could include specific work environments, job satisfaction in various fields, and correlation between depression and chronic illness.

Your conclusion both restates your paper's major claim and ties that claim into a larger discussion. Rather than simply reiterating each major and minor point, quickly revisit your thesis statement and focus on ending the paper by tying your thesis into current research in your field, next steps for other researchers, your broader studies, or other future implications.

Sample Conclusion: For this paper, a conclusion might restate the central argument (the link between lack of education and health issues) and go on to connect that discussion to a larger discussion of the U.S. healthcare or education systems.

This resource describes why outlines are useful, what types of outlines exist, suggestions for developing effective outlines, and how outlines can be used as an invention strategy for writing.

Why create an outline? There are many reasons, but in general, it may be helpful to create an outline when you want to show the hierarchical relationship or logical ordering of information. For research papers, an outline may help you keep track of large amounts of information. For creative writing, an outline may help organize the various plot threads and help keep track of character traits. Many people find that organizing an oral report or presentation in outline form helps them speak more effectively in front of a crowd. Below are the primary reasons for creating an outline.

  • Aids in the process of writing
  • Helps you organize your ideas
  • Presents your material in a logical form
  • Shows the relationships among ideas in your writing
  • Constructs an ordered overview of your writing
  • Defines boundaries and groups

How do I create an outline?

  • Determine the purpose of your paper.
  • Determine the audience you are writing for.
  • Develop the thesis of your paper.
  • Brainstorm : List all the ideas that you want to include in your paper.
  • Organize : Group related ideas together.
  • Order : Arrange material in subsections from general to specific or from abstract to concrete.
  • Label : Create main and sub headings.

Remember: creating an outline before writing your paper will make organizing your thoughts a lot easier. Whether you follow the suggested guidelines is up to you, but making any kind of outline (even just some jotting down some main ideas) will be beneficial to your writing process.

Trying to devise a structure for your essay can be one of the most difficult parts of the writing process. Making a detailed outline before you begin writing is a good way to make sure your ideas come across in a clear and logical order. A good outline will also save you time in the revision process, reducing the possibility that your ideas will need to be rearranged once you've written them.

The First Steps

Before you can begin outlining, you need to have a sense of what you will argue in the essay. From your analysis and close readings of primary and/or secondary sources you should have notes, ideas, and possible quotes to cite as evidence. Let's say you are writing about the 1999 Republican Primary and you want to prove that each candidate's financial resources were the most important element in the race. At this point, your notes probably lack much coherent order. Most likely, your ideas are still in the order in which they occurred to you; your notes and possible quotes probably still adhere to the chronology of the sources you've examined. Your goal is to rearrange your ideas, notes, and quotes—the raw material of your essay—into an order that best supports your argument, not the arguments you've read in other people's works. To do this, you have to group your notes into categories and then arrange these categories in a logical order.

Generalizing

The first step is to look over each individual piece of information that you've written and assign it to a general category. Ask yourself, "If I were to file this in a database, what would I file it under?" If, using the example of the Republican Primary, you wrote down an observation about John McCain's views on health care, you might list it under the general category of  "Health care policy." As you go through your notes, try to reuse categories whenever possible. Your goal is to reduce your notes to no more than a page of category listings.

Now examine your category headings. Do any seem repetitive? Do any go together? "McCain's expenditure on ads" and "Bush's expenditure on ads," while not exactly repetitive, could easily combine into a more general category like "Candidates' expenditures on ads." Also, keep an eye out for categories that no longer seem to relate to your argument. Individual pieces of information that at first seemed important can begin to appear irrelevant when grouped into a general category.

Now it's time to generalize again. Examine all your categories and look for common themes. Go through each category and ask yourself, "If I were to place this piece of information in a file cabinet, what would I label that cabinet?" Again, try to reuse labels as often as possible: "Health Care," "Foreign Policy," and "Immigration" can all be contained under "Policy Initiatives." Make these larger categories as general as possible so that there are no more than three or four for a 7-10 page paper.

With your notes grouped into generalized categories, the process of ordering them should be easier. To begin, look at your most general categories. With your thesis in mind, try to find a way that the labels might be arranged in a sentence or two that supports your argument. Let's say your thesis is that financial resources played the most important role in the 1999 Republican Primary. Your four most general categories are "Policy Initiatives," "Financial Resources," "Voters' Concerns," and "Voters' Loyalty." You might come up with the following sentence: ÒAlthough McCain's policy initiatives were closest to the voters' concerns, Bush's financial resources won the voters' loyalty.Ó This sentence should reveal the order of your most general categories. You will begin with an examination of McCain's and Bush's views on important issues and compare them to the voters' top concerns. Then you'll look at both candidates' financial resources and show how Bush could win voters' loyalty through effective use of his resources, despite his less popular policy ideas.

With your most general categories in order, you now must order the smaller categories. To do so, arrange each smaller category into a sentence or two that will support the more general sentence you've just devised. Under the category of "Financial Resources," for instance, you might have the smaller categories of "Ad Expenditure," "Campaign Contributions" and "Fundraising." A sentence that supports your general argument might read: "Bush's early emphasis on fundraising led to greater campaign contributions, allowing him to have a greater ad expenditure than McCain."

The final step of the outlining process is to repeat this procedure on the smallest level, with the original notes that you took for your essay. To order what probably was an unwieldy and disorganized set of information at the beginning of this process, you need now only think of a sentence or two to support your general argument. Under the category "Fundraising," for example, you might have quotes about each candidate's estimation of its importance, statistics about the amount of time each candidate spent fundraising, and an idea about how the importance of fundraising never can be overestimated. Sentences to support your general argument might read: "No candidate has ever raised too much money [your idea]. While both McCain and Bush acknowledged the importance of fundraising [your quotes], the numbers clearly point to Bush as the superior fundraiser [your statistics]." The arrangement of your ideas, quotes, and statistics now should come naturally.

Putting It All Together

With these sentences, you have essentially constructed an outline for your essay. The most general ideas, which you organized in your first sentence, constitute the essay's sections. They follow the order in which you placed them in your sentence. The order of the smaller categories within each larger category (determined by your secondary sentences) indicates the order of the paragraphs within each section. Finally, your last set of sentences about your specific notes should show the order of the sentences within each paragraph. An outline for the essay about the 1999 Republican Primary (showing only the sections worked out here) would look something like this:

I. POLICY INITIATIVES

II.  VOTERS' CONCERNS

III.  FINANCIAL RESOURCES

            A.  Fundraising

                        a.  Original Idea

                        b.  McCain Quote/Bush Quote

                        c.  McCain Statistics/Bush Statistics

Steps to Create a Research Paper Outline

1. identifying the core components of your outline.

Your research paper outline consists of several key components, each serving a specific purpose. Depending on your research topic and your intended audience, your research paper may have additional sections, such as a literature review or methods section, so make sure you’re clear on what the expectations are for your project. Still, your outline should almost certainly contain the following elements:

A. Introduction

●  Provide a hook. Begin with a compelling opening that grabs your reader’s attention.

●  Include appropriate background information. Provide context about your topic, highlighting its relevance and significance , along with your research objectives .

●  State your thesis statement . Clearly state the main argument or purpose of your paper.

B. Main Body

●  Organize your major points and arguments. Itemize the primary ideas or arguments you intend to present. Each major point should have its own section.

●  Supporting evidence : Beneath each major point, list the supporting evidence, data, or examples that back your arguments.

●  Subpoints : If necessary, break down each major point into smaller subpoints to ensure a well-structured and detailed discussion.

C. Counterarguments and Rebuttals (if applicable)

●  Consider the counterarguments . Address opposing viewpoints to showcase a comprehensive understanding of the topic.

How to create a helpful research paper outline

You need to structure your research paper in an orderly way that makes it easy for readers to follow your reasoning and supporting data. That's where a research paper outline can help.

Writing a research paper outline will help you arrange your ideas logically and allow your final paper to flow. It will make the entire process more manageable and help you work out which details to include and which are better left out.

  • What is a research paper outline?

Write your research paper outline before starting your first draft. The outline provides a map of how you will structure your ideas throughout the paper. A research paper outline will help you to be more efficient when ordering the sections of your thesis, rather than trying to make structural changes after finishing an entire first draft.

An outline consists of the main topics and subtopics of your paper, listed in a logical order. The main topics will become the sections of your research paper, and the subtopics reveal the content you want to include or discuss under the main topics.

Under each subtopic, you can also jot down items you don't want to forget to include in your research paper, such as:

Topic ideas

Paragraph ideas

Direct quotes

Once you start listing these under your main topics, you can focus your thoughts as you plan and write the research paper using the evidence and data you collected and any additional information.

  • Why use an outline?

If your research paper does not have a clear, logical order, readers may not understand the ideas you're trying to share, or they may lose interest and not bother to read the whole paper. An outline helps you structure your research paper so readers can easily connect the content, ideas, and theories you're trying to prove or maintain.

  • Are there different kinds of research paper outlines?

Different kinds of research paper outlines might seem similar but have different purposes. You can select an outline type that provides a clear road map and thoroughly explores each point. 

Other types will help structure content logically or with a segmented flow and progression of ideas that align closely with the theme of your research.

  • The 3 types of outlines

The three outline formats available to research paper writers are:

Alphanumeric or topic outlines

Sentence or full-sentence outlines

Decimal outlines

Let’s look at the differences between each type and see how one may be more beneficial than another, depending on the nature of your research.

This type of research paper outline allows you to segment main headings and subheadings with an alphanumeric arrangement.

The alphanumeric characters of Roman numerals, capital letters, numbers, and lowercase letters define the hierarchy of main topic headings, subtopic headings, and third- and fourth-tier subtopic headings. (e.g., I, A, 1, a)

This method uses minimal words to describe the main and subtopic headings. You'll mostly use this type of research paper outline to focus on the organization of the content while allowing you to review it for unrelated or irrelevant information.

Full-sentence outlines

You will format this type of research paper outline as an alphanumeric outline, using the same alphanumeric characters. However, it contains complete sentences rather than a few words for each main and subtopic heading.

This formatting method allows the writer to focus on looking for inaccuracies and inconsistencies in each point before starting the first draft.

Instead of using alphanumeric characters to define main headings, subheadings, and third- and fourth-tier subheadings, the decimal outline uses a decimal numbering system.

This system shows a logical progression of the content by using 1.0 for the main section heading (and 2.0, 3.0, etc., for subsequent sections), 1.1 for the subheading, 1.1.1 for a third-tier subheading, and 1.1.1.1 for the fourth-tier subheading.

The headings and subheadings will be just a few words, as in the alphanumerical research paper outline. Decimal outlines allow the writer to focus on the content's overall coherence, increasing your writing efficiency and reducing the time it takes to write your research paper.

  • How to write a research paper outline

Before you begin your research paper outline, you need to determine your topic and gather your information. Let’s look at these steps first, then dive into how to write your outline.

1. Determine your topic

You'll need to establish a topic or the main point you intend to write about.

For example, you may want to research and write about whether influencers are the most beneficial way to promote products in your industry. This topic is the main point around which your essay will revolve.

2. Gather information

You'll need evidence, data, statistics, and facts to prove or disprove that influencers are the best method of promoting products in your industry.

You'll insert any of these things you collect to substantiate your findings into the outline to support your topic.

3. Determine the type of essay you'll be writing

There are many types of essays or research papers you can write. The kinds of essays include:

Argumentative: Builds logic and support for an argument

Cause and effect: Explains relationships between specific conditions and their results

Analytical: Presents a claim on what is being analyzed

Interpretive: Informative and persuasive explanations on how something is perceived

Experimental: Reports on experimental results and the reasoning behind the results

Review: Offers an understanding and analysis of primary sources on a given topic

Definition: Defines what a term or concept means

Persuasive: Uses logic and reason to show that one idea is more justified than another

Narrative: Tells a story of personal experience from the author’s point of view

Expository: Shows an objective view of a subject by exploring various angles

Descriptive: Describes objects, people, places, experiences, emotions, situations, etc.

Once you understand the essay format you are writing, you'll know how to structure your outline. 

4. Include basic sections

You'll begin to structure your outline using basic sections. Your main topic headings for these sections may include an introduction, multiple body paragraph sections, and a conclusion.

Once you establish the sections, you can insert the subtopics under each main topic heading.

5. Organize your outline

For example, if you're writing an argumentative essay taking the position that brand influencers (e.g., social media stars on Instagram or TikTok) are the best way to promote products in your industry, you will argue for that particular position.

You'll organize your argumentative essay outline with a main topic section supporting the position. The subtopics will include the reasoning behind your arguments, and the third-tier subtopics will contain the supporting evidence and data you gathered during your research.

You'll add another main topic section to counter and respond to any opposing arguments. Once you've organized and included all the information in this way, this will provide the structure to start your argumentative essay draft.

6. Consider compare-and-contrast essays

A compare-and-contrast essay is a form of essay that analyzes the differences between two opposing theories or subjects. If you have multiple subjects that are the same or different in just one aspect, you can write a point-by-point outline exploring each subject in terms of this characteristic.

The main topic headings will list that one characteristic, and the subtopic headings will list the subjects or items that are the same or different in relation to this characteristic.

Conversely, if you have multiple items to compare, but they have many characteristics that are similar or different, you can write a block method outline. The main topic headings will contain the items to be compared, while the subtopic headings will contain the aspects in which they are similar or different.

7. Consider advanced organizers for longer essays

An advanced organizer is a sentence that introduces new topics by connecting already-known information to new information. It can also prepare the reader for what they may expect to learn from the entire essay, or each section or paragraph.

Incorporating advanced organizers makes it easier for the reader to process and understand the information you are trying to convey. If you choose to use advanced organizers, depending on how often you want to use them throughout your paper, you can add them to your outline at the end of the introduction, the beginning of a section, or the beginning of each paragraph. 

  • Do outlines need periods (full stops)?

If you're constructing alphanumerical or decimal topic outlines, they do not need periods because the entries are usually not complete sentences. However, outlines containing full sentences will need to be punctuated as any sentence is, including using periods.

Here is an example of an alphanumerical outline that argues brand influencers are the best method of promoting products in a particular industry:

  • How long is a thesis outline?

There is no set length for a research paper outline or thesis outline. Your outline can be as long as it needs to be to organize your thoughts constructively.

You can start with a short outline containing an introduction , background, methodology, data and analysis, and conclusion. Or you can break these sections into more specific segments according to the content you want to share.

Why make writing a research paper more complicated than it needs to be? Knowing the elements of an outline and how to insert them into a cohesive structure will make your final paper understandable and interesting to the reader.

How to Write an Essay Outline

It’s 11 p.m., your paper is due tomorrow, and you’re only about halfway done. You’re typing along and when you realize that, wait…you’re actually not a huge fan of your argument or the supporting examples you’re using. Your options are to haphazardly keep writing or to backtrack and rehash what you’ve already done. Ugh. Unsurprisingly, both options aren’t great.

This scenario is scary, but totally avoidable! Though it’s tempting to just start writing, one of the best steps you can take before you type a single word is to create an outline for your paper. By taking the time to write a paper outline, you can prevent the scenario above and make your writing process a cinch!

A paper outline is a skeletal version of your paper. Another way to think about an outline is to view it as a roadmap. An outline helps you organize and streamline your thoughts ahead of time. By front loading this work, you allow the eventual writing process to be much easier: instead of having to backtrack and see if your paper makes sense, you can refer to your outline and be rest assured that you’re on the right track.

It’s understandable if you think it’s not worth the time to write an outline. After all, writing a paper in itself is a lot of work – why add an extra step?

Here’s the secret: creating an outline and then writing your paper takes about the same amount of time as jumping straight into writing your paper. Why? By immediately writing, you run the risk of having to go back and see if the flow of your paper makes sense. Backtracking takes up a lot of time: having to go back and revise your paper because you missed a point can be a pain.

Taking the time to outline your paper gives you the space to see what arguments work, which examples to include, and more. Doing this prep work ahead of time prevents you from having to do it while in the middle of your paper. Your completed outline serves as a solid reference as you write your assignment. In an ideal world, your outline should be so thorough that the writing process is essentially just you converting your bullet points into sentences that flow together!

How to outline a paper

Step 1: gather your relevant materials.

The first step to take when outlining a paper is to gather all your relevant materials. If you’re writing a paper about a book you’re reading in class, start thinking about which passages from the book are relevant to your prompt. If you’re writing a paper about a broader topic, identify what sources you’ll need to construct your argument.

Step 2: Create your thesis

After you’ve compiled your materials, start thinking about your thesis statement. Revisit your assignment prompt, peruse your materials, and determine what your viewpoint is regarding the prompt.

Step 3: Find examples

Once you have your thesis, come up with ways to support it. Identify the quotes you need or the arguments you want to utilize in order to bolster your thesis.

Step 4: Analyze Your Examples

Write 3-4 bullet points connecting your examples to your thesis. The analysis part of your paper is the meat of your paper, so feel free to take as much time as you want during this step.

Step 5: Arrange Your Examples

Now that you have your examples and analysis, arrange them in a logical way that helps you develop and support your thesis. This is the step in which you can start copying and pasting your notes into an outline that mimics the flow of your paper. By the end of this step, you should have a solid outline!

The outline is the skeleton of your research paper. Simply start by writing down your thesis and the main ideas you wish to present. This will likely change as your research progresses; therefore, do not worry about being too specific in the early stages of writing your outline.

A research paper outline typically contains between two and four layers of organization. The first two layers are the most generalized. Each layer thereafter will contain the research you complete and presents more and more detailed information.

The levels are typically represented by a combination of Roman numerals, Arabic numerals, uppercase letters, lowercase letters but may include other symbols. Refer to the guidelines provided by your institution, as formatting is not universal and differs between universities, fields, and subjects. If you are writing the outline for yourself, you may choose any combination you prefer.

This is the most generalized level of information. Begin by numbering the introduction, each idea you will present, and the conclusion. The main ideas contain the bulk of your research paper 's information. Depending on your research, it may be chapters of a book for a literature review , a series of dates for a historical research paper, or the methods and results of a scientific paper.

The second level consists of topics which support the introduction, main ideas, and the conclusion. Each main idea should have at least two supporting topics listed in the outline.

If your main idea does not have enough support, you should consider presenting another main idea in its place. This is where you should stop outlining if this is your first draft. Continue your research before adding to the next levels of organization.

The third level of organization contains supporting information for the topics previously listed. By now, you should have completed enough research to add support for your ideas.

The Introduction and Main Ideas may contain information you discovered about the author, timeframe, or contents of a book for a literature review; the historical events leading up to the research topic for a historical research paper, or an explanation of the problem a scientific research paper intends to address.

The fourth level of organization contains the most detailed information such as quotes, references, observations, or specific data needed to support the main idea. It is not typical to have further levels of organization because the information contained here is the most specific.

Tip: The key to creating a useful outline is to be consistent in your headings, organization, and levels of specificity.

  • Be Consistent : ensure every heading has a similar tone. State the topic or write short sentences for each heading but avoid doing both.
  • Organize Information : Higher levels of organization are more generally stated and each supporting level becomes more specific. The introduction and conclusion will never be lower than the first level of organization.
  • Build Support : Each main idea should have two or more supporting topics. If your research does not have enough information to support the main idea you are presenting, you should, in general, complete additional research or revise the outline.

After completing your outline, you should:

  • Title your research paper . This is an iterative process and may change when you delve deeper into the topic.
  • Begin writing your research paper draft . Continue researching to further build your outline and provide more information to support your hypothesis or thesis.
  • Format your draft appropriately . MLA 8 and APA 7 formats have differences between their bibliography page, in-text citations, line spacing, and title.
  • Finalize your citations and bibliography . Use a reference manager like Paperpile to organize and cite your research.
  • Write the abstract, if required . An abstract will briefly state the information contained within the paper, results of the research, and the conclusion.

An outline is used to organize written ideas about a topic into a logical order. Outlines help us organize major topics, subtopics, and supporting details. Researchers benefit greatly from outlines while writing by addressing which topic to cover in what order.

The most basic outline format consists of: an introduction, a minimum of three topic paragraphs, and a conclusion.

You should make an outline before starting to write your research paper. This will help you organize the main ideas and arguments you want to present in your topic.

Create a Working Outline

Outlines may seem like extra work, but they can make paper writing easier and more efficient. The trick is determining when and how to use outlines so that they serve as a tool to help rather than hinder you. If you like outlines, you might create an outline before writing and then update it throughout the writing process.

Outlines can be used other ways. For example, you might use an outline to transition from research to writing to help you figure out where you're going. You could also use an outline after writing a draft to ensure that every aspect of your paper supports your thesis statement and that the paper's organization is coherent.

Incorporate Source Material Effectively

To incorporate source material effectively into your writing, you need to know how to use signal phrases (attributive tags), when to use quotation marks, and how to paraphrase correctly. 

Signal phrases

  • Tell readers the name of the source that you're borrowing information from.
  • Lend credibility to your paper by describing the source's expertise.
  • Can be used with paraphrasing or direct quoting. 
  • Work with in-text citations. (Check your citation style--APA, MLA, etc.--to determine whether an in-text citation is still needed along with the attributive tag.)

Sample signal phrase: "Willie the Wildcat, mascot of Kansas State University, states that..."

Quotation marks

  • Use the language from the source verbatim.
  • Tell the reader you're borrowing the wording.
  • Work with attributive tags and in-text citations to give credit to the source for the borrowed ideas and language.
  • Should not be used in a way the misrepresents the source.

Sample quotation (using APA): Part of the mission of K-State is to "develop a highly skilled and educated citizenry" (Kansas State University, 2013, Mission Statement section, para. 5).

Complete paraphrases

  • Present the source information completely in your own words. 
  • Work with signal phrases and in-text citations to credit the source and to tell readers you've borrowed these ideas.
  • Do not merely change every few words to synonyms.
  • Do not retain the author's original sentence structure.

Write the Introduction and Conclusion

Sometimes, writing the introduction or the conclusion of your paper can be a challenge. The following tips may help you with the introduction:

  • Include your thesis. Forecast the paper's organization with your main ideas.
  • Offer a connection. Show readers how the topic relates to their lives.
  • Provide context . Add background to bring your audience on board so they're ready for the rest of the paper. 
  • Write it later. Try writing the introduction after you've written the rest of the paper. The introduction may come first, but you don't have to write it first. 
  • Update it. Review the introduction after making changes to your paper. It may need changes too. 

Here are some tips to help with the conclusion:

  • Restate your thesis. Remind readers of the point of your paper.
  • Summarize your main ideas. Restate these so readers remember.
  • Give it an end. Connect back to an early point in the paper to bring it full circle or leave them with an idea that is vivid, humorous, or meaningful. 
  • Keep it relevant. Avoid introducing new topics not covered in your paper.
  • Update it. Review the conclusion after making changes to your paper. It may need changes too. 

Check for Overall Consistency

Sometimes, while writing a draft, you may decide to change the direction of your paper. This is OK, but it requires some follow up work. If your paper takes shape in an unexpected way, ask yourself these questions:

  • Does my thesis statement still make sense?
  • Do all of my main ideas still work together to support the thesis?
  • Do I have enough high quality evidence to support the new direction?
  • Does the introduction serve its purpose still?
  • Does the conclusion function as it should?

If you answer no to any questions, be sure to adjust the problem areas as needed to keep everything on track.

Using the Outline

An effective way to begin writing your first draft is to begin with your outline. Hopefully during the prewriting stage, you’ve collected notes, evidence, and ideas. First, you’ll want to organize these ideas into an outline for your paper and pick a working thesis statement. Follow the steps below to turn your outline into the first draft of your essay.

Step 1: Figure out your main points and create the headings for your outline

Let’s take a look at a very simple example—imagine that you’ve already created an outline for a five-paragraph essay on “why I love my dog.” It might have the following headings:

I. INTRODUCTION and THESIS: I love my dog because he is a good companion, he is well-behaved, and he is cute.

II. BODY PARAGRAPH 1: My Dog is a Good Companion

III. BODY PARAGRAPH 2: My Dog is Well-Behaved

IV. BODY PARAGRAPH 3: My Dog is Cute

V. CONCLUSION

Since the topic is why I love my dog, each of the body paragraphs will present a reason why you love your dog. Always make sure your main ideas directly relate to your topic and connect to the thesis statement. Don’t worry if you are not completely satisfied with the ordering; you can always change it later.

Step 2: Add your supporting ideas

The next step is to fill in supporting ideas for each of your main ideas.

To continue the example above, a writer might fill in part II of the outline as follows:

II. Body Paragraph 1: My Dog is a Good Companion

A. My dog is fun

1. My dog likes to play

2. My dog likes to go on walks

B. My dog is friendly

1. My dog likes to cuddle

2. My dog likes people

Give any necessary explanations, descriptions, evidence, or examples to convince the reader that you are making a good point. If you are using quotes, you can add those to the outline. Remember to include the appropriate citation based on whichever format your teacher requires; having that information in your outline will speed things up when you write your paper (since you won’t have to go hunting for the bibliographic information) and make it easier to avoid plagiarism.

When you have finished adding supporting ideas, read through the outline to see if there is anywhere you think your argument has holes or could be further fleshed out. Make sure that your ideas are in the most logical order. Don’t be afraid to test out different orderings to see what makes the most sense!

Step 3: Turn your headings and subheadings into complete sentences

When writing a short to medium-length paper, each heading (or main idea) will typically correspond to one paragraph. For longer papers, each heading may be a section and your first (or even second) level of subheading will eventually become your paragraphs. See how many sentences fall under each heading to get a rough idea of what correspondence makes the most sense for your paper.

Step 4: Construct your paragraphs

Next, start at the beginning of your outline and go through point by point. Start to put your sentences together into paragraphs. You may need to add transition phrases or even extra sentences to make sure your prose flows naturally. You might also find that even though your ideas seemed to make sense in the outline, you need to add still more details here or change the order of your ideas for everything to fully make sense. You may even find that you have too many ideas or that some ideas are not really all that relevant and need to be cut. That is perfectly normal. The outline is a plan to help you get organized, but you always have the flexibility to change it to fit the needs of your assignment.

Once you have finished turning your outline into paragraphs, you should have a decent first draft of your paper. Now you just need to proofread, revise, and repeat until you are ready to turn in your assignment!

Consider this guidance from an English professor. She’s talking about a specific essay assignment for her students, but the general concepts of the video apply to all writing situations. Professor Pell’s best advice is to not write the sections of your paper in order. Instead, take advantage of the outline to skip around to the parts that are easiest to develop first, and that will have the biggest impact of your paper overall.

Writing the Essay Draft

Drafting from an outline.

While there are distinct differences between developing and organizing support, and between developing/organizing support and drafting the essay, differentiating these steps can sometimes be difficult – in many cases, they blend into one another. As you develop support, you may find that you are also organizing that support into categories, thus creating a draft in outline form.

If outlining seems logical to your way of thinking and approaching a writing project, know that there are  several different kinds of outlines:

  • Roman or Arabic Numeral (highly structured, more formal)
  • bullet point (less structured, more informal)
  • mind map (less structured, more informal)
  • other methods as appropriate, such as a timeline, powerpoint slides, or whatever method works for the topic and your own way of thinking about the topic

Roman Numeral Outline

Whichever type of outline you’ve started with, it can conveniently morph into an essay draft, simply by choosing a portion of the outline as a place to start writing. Start developing that portion with topic sentences, full sentences, complete thoughts, details, examples, facts, opinions, and all appropriate types of support.  Remember that an outline identifies the ideas you intend to use in the essay; you develop the actual essay draft by adding support to those ideas.

One of the many advantages to working from an outline is that you create an idea structure and can see visually how/whether those ideas relate, so you can see what needs to be added or edited. Because outlines capture ideas, they also allow you to begin your draft with whatever section or group of ideas you choose. Pick a section you feel strongly about, and start there. Move around your outline in whatever order you choose, in order to keep the momentum going to develop your essay draft.

8.3 Drafting

Learning objectives.

Drafting is the stage of the writing process in which you develop a complete first version of a piece of writing.

Even professional writers admit that an empty page scares them because they feel they need to come up with something fresh and original every time they open a blank document on their computers. Because you have completed the first two steps in the writing process, you have already recovered from empty page syndrome. You have hours of prewriting and planning already done. You know what will go on that blank page: what you wrote in your outline.

Getting Started: Strategies For Drafting

Your objective for this portion of Chapter 8 “The Writing Process: How Do I Begin?” is to draft the body paragraphs of a standard five-paragraph essay. A five-paragraph essay contains an introduction, three body paragraphs, and a conclusion. If you are more comfortable starting on paper than on the computer, you can start on paper and then type it before you revise. You can also use a voice recorder to get yourself started, dictating a paragraph or two to get you thinking. In this lesson, Mariah does all her work on the computer, but you may use pen and paper or the computer to write a rough draft.

Making the Writing Process Work for You

What makes the writing process so beneficial to writers is that it encourages alternatives to standard practices while motivating you to develop your best ideas. For instance, the following approaches, done alone or in combination with others, may improve your writing and help you move forward in the writing process:

  • Begin writing with the part you know the most about. You can start with the third paragraph in your outline if ideas come easily to mind. You can start with the second paragraph or the first paragraph, too. Although paragraphs may vary in length, keep in mind that short paragraphs may contain insufficient support. Readers may also think the writing is abrupt. Long paragraphs may be wordy and may lose your reader’s interest. As a guideline, try to write paragraphs longer than one sentence but shorter than the length of an entire double-spaced page.
  • Write one paragraph at a time and then stop. As long as you complete the assignment on time, you may choose how many paragraphs you complete in one sitting. Pace yourself. On the other hand, try not to procrastinate. Writers should always meet their deadlines.
  • Take short breaks to refresh your mind. This tip might be most useful if you are writing a multipage report or essay. Still, if you are antsy or cannot concentrate, take a break to let your mind rest. But do not let breaks extend too long. If you spend too much time away from your essay, you may have trouble starting again. You may forget key points or lose momentum. Try setting an alarm to limit your break, and when the time is up, return to your desk to write.
  • Be reasonable with your goals. If you decide to take ten-minute breaks, try to stick to that goal. If you told yourself that you need more facts, then commit to finding them. Holding yourself to your own goals will create successful writing assignments.
  • Keep your audience and purpose in mind as you write. These aspects of writing are just as important when you are writing a single paragraph for your essay as when you are considering the direction of the entire essay.

Of all of these considerations, keeping your purpose and your audience at the front of your mind is the most important key to writing success. If your purpose is to persuade, for example, you will present your facts and details in the most logical and convincing way you can.

Your purpose will guide your mind as you compose your sentences. Your audience will guide word choice. Are you writing for experts, for a general audience, for other college students, or for people who know very little about your topic? Keep asking yourself what your readers, with their background and experience, need to be told in order to understand your ideas. How can you best express your ideas so they are totally clear and your communication is effective?

You may want to identify your purpose and audience on an index card that you clip to your paper (or keep next to your computer). On that card, you may want to write notes to yourself—perhaps about what that audience might not know or what it needs to know—so that you will be sure to address those issues when you write. It may be a good idea to also state exactly what you want to explain to that audience, or to inform them of, or to persuade them about.

Writing at Work

Many of the documents you produce at work target a particular audience for a particular purpose. You may find that it is highly advantageous to know as much as you can about your target audience and to prepare your message to reach that audience, even if the audience is a coworker or your boss. Menu language is a common example. Descriptions like “organic romaine” and “free-range chicken” are intended to appeal to a certain type of customer though perhaps not to the same customer who craves a thick steak. Similarly, mail-order companies research the demographics of the people who buy their merchandise. Successful vendors customize product descriptions in catalogs to appeal to their buyers’ tastes. For example, the product descriptions in a skateboarder catalog will differ from the descriptions in a clothing catalog for mature adults.

Using the topic for the essay that you outlined in Section 8.2 “Outlining” , describe your purpose and your audience as specifically as you can. Use your own sheet of paper to record your responses. Then keep these responses near you during future stages of the writing process.

Setting Goals for Your First Draft

A draft is a complete version of a piece of writing, but it is not the final version. The step in the writing process after drafting, as you may remember, is revising. During revising, you will have the opportunity to make changes to your first draft before you put the finishing touches on it during the editing and proofreading stage. A first draft gives you a working version that you can later improve.

Workplace writing in certain environments is done by teams of writers who collaborate on the planning, writing, and revising of documents, such as long reports, technical manuals, and the results of scientific research. Collaborators do not need to be in the same room, the same building, or even the same city. Many collaborations are conducted over the Internet.

In a perfect collaboration, each contributor has the right to add, edit, and delete text. Strong communication skills, in addition to strong writing skills, are important in this kind of writing situation because disagreements over style, content, process, emphasis, and other issues may arise.

The collaborative software, or document management systems, that groups use to work on common projects is sometimes called groupware or workgroup support systems.

The reviewing tool on some word-processing programs also gives you access to a collaborative tool that many smaller workgroups use when they exchange documents. You can also use it to leave comments to yourself.

If you invest some time now to investigate how the reviewing tool in your word processor works, you will be able to use it with confidence during the revision stage of the writing process. Then, when you start to revise, set your reviewing tool to track any changes you make, so you will be able to tinker with text and commit only those final changes you want to keep.

Discovering the Basic Elements of a First Draft

If you have been using the information in this chapter step by step to help you develop an assignment, you already have both a formal topic outline and a formal sentence outline to direct your writing. Knowing what a first draft looks like will help you make the creative leap from the outline to the first draft. A first draft should include the following elements:

  • An introduction that piques the audience’s interest, tells what the essay is about, and motivates readers to keep reading.
  • A thesis statement that presents the main point, or controlling idea, of the entire piece of writing.
  • A topic sentence in each paragraph that states the main idea of the paragraph and implies how that main idea connects to the thesis statement.
  • Supporting sentences in each paragraph that develop or explain the topic sentence. These can be specific facts, examples, anecdotes, or other details that elaborate on the topic sentence.
  • A conclusion that reinforces the thesis statement and leaves the audience with a feeling of completion.

These elements follow the standard five-paragraph essay format, which you probably first encountered in high school. This basic format is valid for most essays you will write in college, even much longer ones. For now, however, Mariah focuses on writing the three body paragraphs from her outline. Chapter 9 “Writing Essays: From Start to Finish” covers writing introductions and conclusions, and you will read Mariah’s introduction and conclusion in Chapter 9 “Writing Essays: From Start to Finish” .

The Role of Topic Sentences

Topic sentences make the structure of a text and the writer’s basic arguments easy to locate and comprehend. In college writing, using a topic sentence in each paragraph of the essay is the standard rule. However, the topic sentence does not always have to be the first sentence in your paragraph even if it the first item in your formal outline.

When you begin to draft your paragraphs, you should follow your outline fairly closely. After all, you spent valuable time developing those ideas. However, as you begin to express your ideas in complete sentences, it might strike you that the topic sentence might work better at the end of the paragraph or in the middle. Try it. Writing a draft, by its nature, is a good time for experimentation.

The topic sentence can be the first, middle, or final sentence in a paragraph. The assignment’s audience and purpose will often determine where a topic sentence belongs. When the purpose of the assignment is to persuade, for example, the topic sentence should be the first sentence in a paragraph. In a persuasive essay, the writer’s point of view should be clearly expressed at the beginning of each paragraph.

Choosing where to position the topic sentence depends not only on your audience and purpose but also on the essay’s arrangement, or order. When you organize information according to order of importance, the topic sentence may be the final sentence in a paragraph. All the supporting sentences build up to the topic sentence. Chronological order may also position the topic sentence as the final sentence because the controlling idea of the paragraph may make the most sense at the end of a sequence.

When you organize information according to spatial order, a topic sentence may appear as the middle sentence in a paragraph. An essay arranged by spatial order often contains paragraphs that begin with descriptions. A reader may first need a visual in his or her mind before understanding the development of the paragraph. When the topic sentence is in the middle, it unites the details that come before it with the ones that come after it.

As you read critically throughout the writing process, keep topic sentences in mind. You may discover topic sentences that are not always located at the beginning of a paragraph. For example, fiction writers customarily use topic ideas, either expressed or implied, to move readers through their texts. In nonfiction writing, such as popular magazines, topic sentences are often used when the author thinks it is appropriate (based on the audience and the purpose, of course). A single topic sentence might even control the development of a number of paragraphs. For more information on topic sentences, please see Chapter 6 “Writing Paragraphs: Separating Ideas and Shaping Content” .

Developing topic sentences and thinking about their placement in a paragraph will prepare you to write the rest of the paragraph.

The paragraph is the main structural component of an essay as well as other forms of writing. Each paragraph of an essay adds another related main idea to support the writer’s thesis, or controlling idea. Each related main idea is supported and developed with facts, examples, and other details that explain it. By exploring and refining one main idea at a time, writers build a strong case for their thesis.

Paragraph Length

How long should a paragraph be?

One answer to this important question may be “long enough”—long enough for you to address your points and explain your main idea. To grab attention or to present succinct supporting ideas, a paragraph can be fairly short and consist of two to three sentences. A paragraph in a complex essay about some abstract point in philosophy or archaeology can be three-quarters of a page or more in length. As long as the writer maintains close focus on the topic and does not ramble, a long paragraph is acceptable in college-level writing. In general, try to keep the paragraphs longer than one sentence but shorter than one full page of double-spaced text.

Journalistic style often calls for brief two- or three-sentence paragraphs because of how people read the news, both online and in print. Blogs and other online information sources often adopt this paragraphing style, too. Readers often skim the first paragraphs of a great many articles before settling on the handful of stories they want to read in detail.

You may find that a particular paragraph you write may be longer than one that will hold your audience’s interest. In such cases, you should divide the paragraph into two or more shorter paragraphs, adding a topic statement or some kind of transitional word or phrase at the start of the new paragraph. Transition words or phrases show the connection between the two ideas.

In all cases, however, be guided by what you instructor wants and expects to find in your draft. Many instructors will expect you to develop a mature college-level style as you progress through the semester’s assignments.

To build your sense of appropriate paragraph length, use the Internet to find examples of the following items. Copy them into a file, identify your sources, and present them to your instructor with your annotations, or notes.

  • A news article written in short paragraphs. Take notes on, or annotate, your selection with your observations about the effect of combining paragraphs that develop the same topic idea. Explain how effective those paragraphs would be.
  • A long paragraph from a scholarly work that you identify through an academic search engine. Annotate it with your observations about the author’s paragraphing style.

Starting Your First Draft

Now we are finally ready to look over Mariah’s shoulder as she begins to write her essay about digital technology and the confusing choices that consumers face. As she does, you should have in front of you your outline, with its thesis statement and topic sentences, and the notes you wrote earlier in this lesson on your purpose and audience. Reviewing these will put both you and Mariah in the proper mind-set to start.

The following is Mariah’s thesis statement.

Here are the notes that Mariah wrote to herself to characterize her purpose and audience.

Mariah chose to begin by writing a quick introduction based on her thesis statement. She knew that she would want to improve her introduction significantly when she revised. Right now, she just wanted to give herself a starting point. You will read her introduction again in Section 8.4 “Revising and Editing” when she revises it.

Remember Mariah’s other options. She could have started directly with any of the body paragraphs.

You will learn more about writing attention-getting introductions and effective conclusions in Chapter 9 “Writing Essays: From Start to Finish” .

With her thesis statement and her purpose and audience notes in front of her, Mariah then looked at her sentence outline. She chose to use that outline because it includes the topic sentences. The following is the portion of her outline for the first body paragraph. The roman numeral II identifies the topic sentence for the paragraph, capital letters indicate supporting details, and arabic numerals label subpoints.

Mariah then began to expand the ideas in her outline into a paragraph. Notice how the outline helped her guarantee that all her sentences in the body of the paragraph develop the topic sentence.

If you write your first draft on the computer, consider creating a new file folder for each course with a set of subfolders inside the course folders for each assignment you are given. Label the folders clearly with the course names, and label each assignment folder and word processing document with a title that you will easily recognize. The assignment name is a good choice for the document. Then use that subfolder to store all the drafts you create. When you start each new draft, do not just write over the last one. Instead, save the draft with a new tag after the title—draft 1, draft 2, and so on—so that you will have a complete history of drafts in case your instructor wishes you to submit them.

In your documents, observe any formatting requirements—for margins, headers, placement of page numbers, and other layout matters—that your instructor requires.

Study how Mariah made the transition from her sentence outline to her first draft. First, copy her outline onto your own sheet of paper. Leave a few spaces between each part of the outline. Then copy sentences from Mariah’s paragraph to align each sentence with its corresponding entry in her outline.

Continuing the First Draft

Mariah continued writing her essay, moving to the second and third body paragraphs. She had supporting details but no numbered subpoints in her outline, so she had to consult her prewriting notes for specific information to include.

If you decide to take a break between finishing your first body paragraph and starting the next one, do not start writing immediately when you return to your work. Put yourself back in context and in the mood by rereading what you have already written. This is what Mariah did. If she had stopped writing in the middle of writing the paragraph, she could have jotted down some quick notes to herself about what she would write next.

Preceding each body paragraph that Mariah wrote is the appropriate section of her sentence outline. Notice how she expanded roman numeral III from her outline into a first draft of the second body paragraph. As you read, ask yourself how closely she stayed on purpose and how well she paid attention to the needs of her audience.

Reread body paragraphs two and three of the essay that Mariah is writing. Then answer the questions on your own sheet of paper.

  • In body paragraph two, Mariah decided to develop her paragraph as a nonfiction narrative. Do you agree with her decision? Explain. How else could she have chosen to develop the paragraph? Why is that better?
  • Compare the writing styles of paragraphs two and three. What evidence do you have that Mariah was getting tired or running out of steam? What advice would you give her? Why?
  • Choose one of these two body paragraphs. Write a version of your own that you think better fits Mariah’s audience and purpose.

Writing a Title

A writer’s best choice for a title is one that alludes to the main point of the entire essay. Like the headline in a newspaper or the big, bold title in a magazine, an essay’s title gives the audience a first peek at the content. If readers like the title, they are likely to keep reading.

Following her outline carefully, Mariah crafted each paragraph of her essay. Moving step by step in the writing process, Mariah finished the draft and even included a brief concluding paragraph (you will read her conclusion in Chapter 9 “Writing Essays: From Start to Finish” ). She then decided, as the final touch for her writing session, to add an engaging title.
