Write great papers with microsoft word.

You may already use Microsoft Word to write papers, but you can also use for many other tasks, such as collecting research, co-writing with other students, recording notes on-the-fly, and even building a better bibliography!

Getting started

Let’s get started by opening Microsoft Word and choosing a template to create a new document. You can either:

Select Blank document to create a document from scratch.

Select a structured template.

Select Take a tour for Word tips.

Next, let’s look at creating and formatting copy. You can do so by clicking onto the page and beginning to type your content. The status bar at the bottom of the document shows your current page number and how many words you've typed, in case you’re trying to stay maintain a specific word count.

To format text and change how it looks, select the text and select an option on the Home tab: Bold, Italic, Bullets, Numbering , etc.

To add pictures, shapes, or other media, simply navigate to the Insert tab, then select any of the options to add media to your document.

Word automatically saves your content as you work, so you don’t have to stress about losing your progress if you forget to press  Save .

Here are some of the advanced tools you can try out while using Microsoft Word.

Type with your voice

Have you ever wanted to speak, not write, your ideas? Believe it or not, there’s a button for that! All you have to do is navigate to the Home tab, select the Dictate button, and start talking to “type” with your voice. You’ll know Dictate is listening when the red recording icon appears.

Speak clearly and conversationally.

Add punctuation by pausing or saying the name of the punctuation mark.

If you make a mistake, all you have to do is go back and re-type your text.

Finding and citing sources

Get a head start on collecting sources and ideas for a big paper by searching key words in  Researcher in the References tab of your document.

Researcher uses Bing to search the web and deliver high-quality research sources to the side of your page. Search for people, places, or ideas and then sort by journal articles and websites. Add a source to your page by selecting the plus sign.

As you write, Researcher saves a record of your searches. Just select My Research to see the complete list.

Keep track of all your sources by using Word's built-in bibliography maker. Simply navigate to the References tab.

First, choose the style you want your citations to be in. In this example, we’ve selected APA style.

Select Insert Citation and Add New Source .

In the next window, choose what kind of work you’re citing—an article, book, etc.—and fill in the required details. Then select  OK to cite your source.

Keep writing. At the ends of sentences that need sources, select Insert Citation to keep adding new sources, or pick one you already entered from the list.

As you write, Word will keep track of all the citations you’ve entered. When you’re finished, select Bibliography and choose a format style. Your bibliography will appear at the end of your paper, just like that.

Make your report or project look extra professional in the Design tab! Browse different themes, colors, fonts, and borders to create work you're proud of!

Illustrate a concept with a chart or a model by navigating to the  Insert tab and choosing  SmartArt . In this example, we chose Cycle and filled in text from the writing process to make a simple graphic. Choose other graphic types to represent hierarchies, flow charts, and more.

To insert a 3D model, select  Insert > 3D Models to choose from a library of illustrated dioramas from different course subjects and 3D shapes.

Invite someone to write with you

If you’re working on a group project, you can work on a document at the same time without emailing the file back and forth. Select Share at the top of your page and create a link you can send to other students.

Now, everybody can open the same file and work together.

Using Microsoft Word

You'll need to use a word processor to type your paper on the computer. Microsoft Word is one of the most commonly used programs of this kind. Once you start your computer you'll need to open Microsoft Word by double-clicking on the icon or selecting the program from a list.

Common Typing Problems

Did your words just disappear? There's nothing like typing away on a paper, only to find that you're not actually typing what you thought you were typing! There are several problems you can encounter with a keyboard that can drive you nuts. Especially if you're on a deadline. Don't panic! The solution is probably painless.

How to Double Space

Double spacing refers to the amount of space that shows between the individual lines of your paper. When a paper is "single-spaced," there is very little white space between the typed lines, which means there is no room for marks or comments.

In-Text Citations

When you quote from a source, you will always need to provide a citation that is created using a very specific format. The author and date are stated immediately after the cited material, or the author is named in the text and the date is parenthetically stated immediately after the cited material.

Inserting a Footnote

If you're writing a research paper, you might be required to use footnotes or endnotes. Formatting and numbering of the notes are automatic in Word, so you don’t have to worry about spacing and placement too much. Also, Microsoft Word will automatically re-number your notes if you delete one or you decide to insert one at a later time.

Citing your work is an essential part of any research paper. Yet, for some students, it is frustrating and tedious work. You’re opening your laptop to write an essay, knowing exactly what you want to write, but then it hits you—you don’t know how to format it! Using the correct format when writing an essay can help your paper look polished and professional while earning you full credit. There are 3 common essay formats—MLA, APA, and Chicago Style—and we’ll teach you the basics of properly formatting each in this article. So, before you shut your laptop in frustration, take a deep breath and keep reading because soon you’ll be formatting like a pro.

Setting Up Your Document

Step 1 Read over the assignment’s guidelines before you begin.

  • If you can’t find information on the style guide you should be following, talk to your instructor after class to discuss the assignment or send them a quick email with your questions.
  • If your instructor lets you pick the format of your essay, opt for the style that matches your course or degree best: MLA is best for English and humanities; APA is typically for education, psychology, and sciences; Chicago Style is common for business, history, and fine arts.

Step 2 Set your margins to 1 inch (2.5 cm) for all style guides.

  • Most word processors default to 1 inch (2.5 cm) margins.

Step 3 Use Times New Roman font.

  • Do not change the font size, style, or color throughout your essay.

Step 4 Change your font size to 12pt.

  • Change the spacing on Google Docs by clicking on Format , and then selecting “Line spacing.”
  • Click on Layout in Microsoft Word, and then click the arrow at the bottom left of the “paragraph” section.

Step 6 Put the page number and your last name in the top right header for all styles.

  • Using the page number function will create consecutive numbering.
  • When using Chicago Style, don’t include a page number on your title page. The first page after the title page should be numbered starting at 2. [4] X Research source

Step 7 Use a title page with APA or Chicago Style format.

  • For APA formatting, place the title in bold at the center of the page 3 to 4 lines down from the top. Insert one double-spaced line under the title and type your name. Under your name, in separate centered lines, type out the name of your school, course, instructor, and assignment due date. [6] X Research source
  • For Chicago Style, set your cursor ⅓ of the way down the page, then type your title. In the very center of your page, put your name. Move your cursor ⅔ down the page, then write your course number, followed by your instructor’s name and paper due date on separate, double-spaced lines. Step 8 Create a left-handed heading for MLA Style essays.

  • Double-space the heading like the rest of your paper.

Writing the Essay Body

Step 1 Center the title of your paper in all style formats.

  • Use standard capitalization rules for your title.
  • Do not underline, italicize, or put quotation marks around your title, unless you include other titles of referred texts.

Step 2 Indent the first line of each paragraph by 0.5 inches (1.3 cm) for all styles.

  • A good hook might include a quote, statistic, or rhetorical question.
  • For example, you might write, “Every day in the United States, accidents caused by distracted drivers kill 9 people and injure more than 1,000 others.”

Step 4 Include a thesis statement at the end of your introduction.

  • "Action must be taken to reduce accidents caused by distracted driving, including enacting laws against texting while driving, educating the public about the risks, and giving strong punishments to offenders."
  • "Although passing and enforcing new laws can be challenging, the best way to reduce accidents caused by distracted driving is to enact a law against texting, educate the public about the new law, and levy strong penalties."

Step 5 Present each of your points in 1 or more paragraphs.

  • Use transitions between paragraphs so your paper flows well. For example, say, “In addition to,” “Similarly,” or “On the other hand.” [12] X Research source

Step 6 Complete your essay with a conclusion.

  • A statement of impact might be, "Every day that distracted driving goes unaddressed, another 9 families must plan a funeral."
  • A call to action might read, “Fewer distracted driving accidents are possible, but only if every driver keeps their focus on the road.”

Using References

Step 1 Create parenthetical citations...

  • In MLA format, citations should include the author’s last name and the page number where you found the information. If the author's name appears in the sentence, use just the page number.   • If you don’t use parenthetical or internal citations, your instructor may accuse you of plagiarizing.

Step 2 Use footnotes for citations in Chicago Style.

  • Each footnote should be numbered consecutively.

Step 3 Center the title of your reference page.

  • If you’re using MLA format , this page will be titled “Works Cited.”
  • In APA and Chicago Style, title the page “References.”

Step 4 List your sources on the references page by author’s last name in alphabetical order.

  • If you have more than one work from the same author, list alphabetically following the title name for MLA and by earliest to latest publication year for APA and Chicago Style.
  • Double-space the references page like the rest of your paper.

You have an essay due tomorrow that you’re just now starting, or maybe there’s an essay question on your upcoming test that you won't have a lot of time to work on. Don’t worry! This article will show you how to write an essay as quickly and efficiently as possible without sacrificing quality. We’ll walk you through the whole process step-by-step, from outlining your essay and writing a solid first draft to polishing it before turning it in.

Outlining the Essay

Step 1 Minimize distractions.

  • If you are writing the essay at home, let others around you know that you are working and not to be disturbed. If it is noisy around you, put on headphones to block the noise out so you can focus on the essay.
  • Try writing at a time when you're less likely to be disturbed, like in the early morning or at night.

Step 2 Identify the topic.

  • For example, if the prompt is, “Explain the consequences of Mao’s Great Leap Forward campaign,” you may then focus on identifying the consequences of Mao’s Great Leap Forward campaign and analyze how it affected China in your essay.

Step 3 Determine the type of essay you are writing.

  • An analytical essay breaks down a topic or concept to better examine and understand it. For example, an analytical essay prompt might be, “What is the source of the violence and unrest in Shakespeare’s King Lear ?”
  • An expository essay teaches or illuminates a point. For example, an expository essay prompt might be, “Explain the consequences of Mao’s Great Leap Forward campaign.”
  • An argumentative essay will make a claim or back up an opinion to change other people’s point of view. For example, an argumentative essay prompt might be, “Do you think Shakespeare’s A Midsummer Night’s Dream is a comedy, a tragedy, or a combination of both? Why?”

Step 4 Brainstorm ideas around the topic.

  • You can also draw lines from the topic to your ideas. Try to list three to five ideas that you can use in your essay. Think about examples that work with the topic or that correspond with the topic.
  • You may need to review your sources to help you get ideas for the topic. Have the sources, such as online scholarly articles or textbooks, close by so you can review them during your brainstorm. Remember to bookmark your sources so you can cite them later on.

Step 5 Make a brief outline.

  • However, many teachers will accept essays that are longer than five paragraphs and will allow you to have many body paragraphs in your essay. Speak to your instructor about their expectations on the structure of the essay so you can follow their guidelines.

Step 6 Fill in what each section is going to contain.

  • Note what you will include in your introduction, such as a strong opening line, a thesis statement, and a discussion of the main points of your essay.
  • Briefly note the claim or focus of each body paragraph. Include a note on sources or quotes you will use in each body paragraph to support your claim.
  • Have a brief summary of what will be in your conclusion section, such as a rephrasing of your thesis statement and a strong final line.

Creating a Strong Draft of the Essay

Step 1 Type the essay on a computer.

  • If you do handwrite the essay, make sure you double space it so you can add in edits or adjustments when you revise it.

Step 2 Craft your thesis...

  • Your thesis statement should tell the reader the point of your essay. It will consist of two parts. The first part will state the topic and the second part will state the point of your essay.
  • For example, if your topic is “Do you think Shakespeare’s A Midsummer Night’s Dream is a comedy, a tragedy, or a combination of both? Why?”, your thesis statement might be, “Though there are elements of tragedy in Shakespeare’s A Midsummer Night’s Dream , the structure, themes, and staging of the play fall into the genre of comedy.”

Step 3 Treat each body paragraph like a mini-essay.

  • In each body paragraph, start with an introductory sentence that explains what the paragraph is going to be about, or your claim. Then, use quotes from your sources as evidence to support the main idea of the paragraph. Respond to the quote and explain what it means. Finally, show how the quote supports your main idea.
  • Make sure you end each body paragraph by answering the question, “What does this paragraph have to do with my thesis?” This will help to ensure you stay on track as you transition from paragraph to paragraph. It also keeps each body paragraph relevant to the overall idea of the essay.

Step 4 Create a conclusion that summarizes your thesis and evidence.

  • For example, you may reword your thesis statement as, “While there are tragic moments in Shakespeare’s A Midsummer Night’s Dream , the structure, themes, and staging of the play fit within the genre of comedy.”

Step 5 Do the introduction last if you're still exploring your thesis.

  • Your introduction should include your thesis statement. You may find yourself editing your thesis statement when you complete your introduction. This is to be expected, as some of your wording in the thesis statement may need to be sharpened or adjusted.

Polishing the Essay

Step 1 Compare the essay to your outline.

  • Confirm that each of your body paragraphs includes quotes from the source text to support your claims. You should also cite your sources properly in your essay, based on whether your instructor wants APA or MLA style.

Step 2 Read the essay over for flow and organization.

  • You should also revise any sentences that sound awkward or long-winded. Break sentences up into several sentences if they are too long.
  • If you are revising a handwritten essay, only cross out a word or phrase once and write neatly above it. Do not write large marks or dark scribbles on the essay, as this will make it harder to read.

Step 3 Proofread the essay for grammatical errors.

  • Reading the essay out loud can also help you catch any spelling, grammar, or punctuation mistakes.
  • If you are writing the essay in class, leave at least five to ten minutes to proofread the essay carefully and thoughtfully before you turn it in.

FocusWriter helps writers combat one of their biggest challenges: distractions. One of the best free writing software tools out there, it's specifically designed to let you just concentrate on your writing. 

The stripped-back interface is deliciously sparse - ideal for when you just need to get your head down and write - and not dissimilar to a moderately powerful version of Notepad, featuring support for TXT, basic, RTF, and ODT files. 

Even the toolbar is hidden until you actually need it. Just swoop your cursor to the top on the screen to reveal a barren menu, from basic formatting to themes and timers.

Features are light within the software, but FocusWriter isn’t made for heavy editing sessions. It’s designed to make the act of writing flow seamlessly onto the page. 

Elsewhere, the writing app boasts the ability to add themes and your own background images, which can help you stay motivated.

The free word processor, cleverly described as zenware, is unbelievably pared back compared to more traditional writing apps. 

There’s very little in the way of distracting ‘screen furniture’, which means you’re better positioned to concentrate on the writing process. And absolutely nothing else. 

But don’t let that stripped-back approach fool you. As one of the best free writing apps, WriteMonkey is still rich with the sort of core features that matter to writers. 

However, most options are hidden in a context menu (so you’ll need to right-click to view it). It also only supports TXT files, which may limit those looking to read, write, or edit across multiple formats. It is, at least, a portable download, letting you take it wherever you need.

If you’ve enjoyed Markdown, the simplified text-editing language that lets you format, annotate, classify, and link as you type, then great. WriteMonkey’s inner workings will instantly chime.

Writer, the open-source, free writing software, serves almost all general writing needs.

LibreOffice is a near-perfect example of free office software - a familiar, feature-rich take on the office suite. What the veteran software package lacks in Microsoft polish (its interface is undeniably old-fashioned, for starters), it makes up for in its price-point: free. For that, you get access to six tools: Calc, Impress, Draw, Base, Math, and Writer. 

Earning it a slot on our list of best free writing apps is the fact that LibreOffice Writer packs the full editing toolbox. 

This isn’t just a note-taking app for staving off distractions when you’re deep in the zone; it’s for when you’re in pure writer-mode. 

If you’re at all proficient with Microsoft Word, you won’t have any problems using the Writer software. Layouts and functions are almost identical, and there’s support for DOC and DOCX file types, making it efficient to switch out of the Microsoft garden.

This free writing app is ideal if you’re hunting for a tool that almost perfectly replicates the Word experience without the cost.

4. Microsoft Word

When it comes to word processors, Microsoft Word is probably the baseline against which all others are compared. It’s the one most of us use at school, home, and work. It’s familiar, comfortable - and it’s available free on the web and mobile devices. 

That may not be the best way to write your masterpiece (unless you’ve hooked up a Bluetooth keyboard). But it’s a great way to jot down ideas on-the-go. When we tested the browser-based version we found it could be a bit slow at first, and we were typing faster than the words appeared on screen. This settles down (mostly) after a minute or so. 

Microsoft’s free writing apps on Android and iPhone had no such issues. Using these was velvety smooth. We especially appreciated the option to switch between mobile view and desktop view, so we could gauge how the document would appear in full-screen. 

As with Google Docs, you’ll need to sign up with a Microsoft account. And, like Google, that also lets you use free versions of PowerPoint, Excel, and the like. While Word offers one of the best free writing app experiences, there’s no denying that the paid-for upgrade is superior, offering more tools, and a true desktop app.

Author promises to make it easier to ‘think, write, and cite’. It’s a promise capably delivered, with a clean interface and bags of writing features designed to make it easy to go from first draft to final copy. 

If you're an Apple user in search of the best free writing apps on macOS, this one demands your attention. 

Concept Maps is one of the best features. It’s a great mind-mapping tool to visualize and lay down all your thoughts while they’re fresh in your head without constraint. You can worry about whipping them into shape later. 

Students and report writers will appreciate Author’s ‘fast citing’ tools - speeding up assignment-writing by correctly adding and formatting citations, references, and contents. 

A paid-for upgrade of the writing software that offers exporting options is available. However, unless you need automatic formatting on export, you can stick with the free version. 

Google Docs for G Suite

Google Docs is a great free writing platform for any writer. It’s an extremely clean, quick word processor available in the browser, on desktop, and phone and tablet apps. So, you can take notes wherever inspiration strikes. 

Docs is more or less Google’s spin on Microsoft Word. The interface is a bit more simple than the professional office software - although it’s no less powerful. 

You’ll find heaps of writing tools, including a pretty accurate speech-to-text transcription tool (just enunciate and don’t talk too fast). Keyboard shortcuts are very well-supported. 

For best results, you’ll need an internet connection, though documents can be used offline. They’ll be synced, and in our experience, that happens swiftly behind the scenes. 

To take advantage of the free writing app, you’ll need a Google account, which may be a deal-breaker for some - but that also opens up the rest of the Google-stuff in the Google-sphere, such as Sheets, Slides, and . With a free account, you get 15GB of storage, which should be more than enough for word documents. A Google One subscription upgrades your storage space, amongst other things. 

Additionally, Google Docs is great if you want to collaborate with one or more other writers. Just be warned to stay in Google Docs for that, because exporting the data into Word or other writing applications can result formatting errors.

Artificial intelligence is growing in a big way - and when it comes to writing, it's ChatGPT that's been snatching all the headlines of late, with its ability to generate short- and long-form content based on user prompts.

Generally, an AI writer will write your content for you, based on its current learning (although often without 'understanding' the context). A writing app simply lets you write your way, in your own voice. 

Some platforms, such as Canva , have even integrated AI into its Canva Docs and Canva PDF Editor services. However. its Magic Write tool acts as a writing assistant, serving up suggestions and ideas, leaving real writers to work their magic on the content. Though usually hiding in the back-end, you can also find AI integrated in other ways across other the best PDF editor apps (and even the best free PDF editor apps, too).

As always with AI-generated content, whether it's the written word or an artwork masterpiece, human involvement is usually necessary and always desirable. Even if you're using the best AI writers out there, editing and proofreading is essential to give the content accuracy and emotional resonance.

How to choose the best free writing app for you

When deciding which free writing app is best, start by figuring out what sort of writing you want to do. 

Do you need a handy tool for quick scribbles and jotting down ideas here and there, or are you using the writing software to write and edit an epic novel? Tools like FocusWriter and Write Monkey are great for getting thoughts on the page without friction.

It’s also worth considering if you need a writing app with a distraction-free design, so you can concentrate on what really matters to you. Again, FocusWriter performs admirably here, but as a result, you lose core typography and editing functions. Unlike LibreOffice, this isn’t the best Microsoft Office alternative if you need those tools. In that scenario, it may be worth considering looking at some of the best free office software , which includes MS Word-style apps, alongside other tools similar to Excel, PowerPoint, and so on. 

Access is an important factor when using your writing software. A tool like Scribus needs to be downloaded to your machine. Lightweight apps like FocusWriter, however, offer a portable download that can be downloaded to a USB and carried with you. 

Check what file formats your chosen writing app supports, too. While some let you create and edit the common DOC and DOCX files, others only allow TXT or RTF documents.

Google Docs is a pleasure to use, with its streamlined interface, efficient file organization options, and minimalist approach. It has all of the standard document editing tools you'd expect a word processor to have, from italics to grammar suggestions to voice-typing support, plus it makes it easy to share and export your documents when you're online.

To enable Google Drive's offline feature, you'll need to set it up online first as the feature isn't on by default. When you're connected, install and turn on the Google Docs offline Chrome extension . Then, open settings in Google Drive and check the box to sync your documents so you can edit offline, select the documents you want to save offline, and turn on the "available offline" option. You can even preview your offline files by clicking the circled checkmark at the top right of the page, clicking "Ready for offline," and then clicking "Offline preview."

Microsoft Word (starts at $69.99/yr) has long been the de facto word processor for students, office workers, and writers. Word is included with an annual Office 365 subscription, along with the rest of the Office Suite applications, like Excel , Outlook , PowerPoint , and OneNote . It works both online and offline automatically syncing upon reconnection with your Windows, macOS, Android, and iOS devices.

Word has an extremely powerful editing capacity and offers templates, along with grammar and stylistic suggestions to help you create great documents without stressing. It also enables you to collaborate with others in real time in a variety of languages, a feature that's great for students or collaborative authors. You can even use your stylus to write or draw in your document if you have a compatible device.

If you're working online, Microsoft Word's AutoSave feature is always on regularly saving your work. However, if you work offline (or if your connection just drops for some reason), there's no need to worry: simply keep typing and Word will automatically sync once you regain connection. Office 365's only offline caveat is that you need to go online at least once every 30 days in order to maintain your subscription and application access.

Writer is a minimalistic writing tool in the form of a Chrome extension that works both online and offline. It automatically saves anything you write, gives you an unlimited number of documents (with unlimited word count), and keeps them organized with folders. And, because it's a Chrome extension, you can use it on any computer.

In an effort to give you a distraction-free experience, Writer lets you go fullscreen, with no ads and no text editing (like bold or italicize options). The plain text writing app is great for any type of writing, though it is specially designed for creative writing like screenplays and novels. JotterPad gives you access to standard word processor functions like text styling, markdown, a thesaurus and dictionary, undo/redo, and custom fonts. How to Type: 5 Tips for Faster Typing

Learn to touch type..

If you don’t know how to touch type, this is where you need to start. Having the ability to type without looking at the keyboard is the most important factor in achieving a fast typing speed. Even if you have memorized many of the keys, unfamiliar keys will slow you down just like speed bumps on the freeway. Taking your eyes off the screen to peek at the keyboard disrupts your focus and costs you time. You want to be able to keep your eyes on the screen and your fingers moving to the correct keys without thinking. Achieving this kind of flow takes practice. The better you can do it, the faster you will be. Read on to learn how.

Aim for accuracy rather than speed.

It does not matter how fast you type if you have to go back and fix all your mistakes. Fixing mistakes takes more time than it does to just slow down and take the time you need to type accurately. Fast typing depends on developing precision muscle memory. Allowing yourself to type incorrectly will actually reinforce your bad habits and common mistakes! Slow your typing pace until you can attain 100% accuracy. If you come across a difficult word, slow down further to type it properly. Develop good habits and speed will be your reward.

Practice typing exercises regularly.

Mastering typing skills takes training and practice. Practice typing on a regular schedule, 10 minutes to an hour per session, depending on your energy and focus level. Eliminate any potential distractions. If you find yourself making lots of errors, slow down and find a way to regain your focus or call it a day. The goal of practicing is to build muscle memory. Be consistent and mindful in your practice and you will avoid bad habits and mistakes.

Most keyboards require only a light touch to register a key stroke, so there is no need to mash the keys down. Type with the minimum force necessary. You will type faster, longer and with greater ease. Typing involves muscles not only in your fingers, but in your hands, arms, back, shoulders, neck and head.

Learn the entire keyboard.

You may have enough experience typing to know most of the common keys - the letters, the space bar, enter, and I’ll bet you know that backspace! But you might be uncomfortable with some of the keys you don’t use as frequently. Do you have to slow down and look at the keyboard to type a number or symbol? If you program or work with spreadsheets you will use the symbol keys frequently. If you are a gamer there are probably CTRL, ALT and function keys that you fumble for in the heat of the battle. In fact, most all programs can be used more productively with effectively use of key combo shortcuts. Hitting these awkward keys and combos accurately allows you to maintain focus on what you are doing, so make sure you include them in your typing practice.
