What Is an Email Quota and What Does “Over Quota” Mean?

Too Much Email

Believe it or not, being over quota has nothing to do with the inbox on your PC, or even what email program you’re using.

But it might have everything to do with how your email program is configured.

TL;DR:

A quota is a limit placed on disk space usage. For email, it’s not your computer, but the space used by your account with your email service provider. You can ask for more, but a more common solution is to download email to your PC and remove it from your provider, to free up space. POP3 configurations generally do this automatically, but IMAP, which is becoming more common, may not. You may need to take additional steps.

A quota is nothing more than a limit on how much disk space your email can take up.

The catch is, it’s not on your machine; it’s on your email service provider’s server .

It’s your email service provider that imposes a quota on how much of their disk space you’re allowed to use. That could be Hotmail, Yahoo, Gmail, or the email provided by your company, your ISP , or whomever else you’re using.

For example, in Gmail, I have this message at the bottom of the page:

10.33 GB (60%) of 17 GB used

That means I have a space quota of 17 gigabytes. Presumably, if I exceed that limit — if I accumulate more than 17 gigabytes of email — Gmail will start rejecting email sent to me.

The big clue in your question is this: the email program on your computer does not “ bounce ” email — your email provider does.

When your account is over quota, two things may happen:

  • Your email provider will reject email sent to you, since you have no more of their disk space available to store it. Usually the provider will send a bounce message to the sender, saying the mail could not be delivered.
  • Your email provider may send you an email message to let you know you’re over quota.

In either case, the fact that you’re over quota is being detected by your mail server without your mail program even being involved .

The most common cause for being over quota? Going on vacation.

When you go on vacation, you don’t download email, so it accumulates on your email provider’s server. If, while you’re away, the email you receive exceeds the amount of space the email provider has set aside for you, you’re over quota.

The only real solutions are to:

  • Ask for a larger quota (meaning more space)
  • Check, download, or clean up your email from time to time while you’re away
  • Move to an email provider with a larger quota, or no quota at all

Now, it sounds like you may have a little more going on, since after getting back (and presumably downloading your email) you’re still running into trouble.

Email program settings and going over quota

When you set up your email account in a desktop email program, one of the configuration options you specify is what type of email server you’ve been provided.

POP versus IMAP selection

Each can have ramifications on the amount of space that will be used at your email service provider.

IMAP and over quota

IMAP by definition leaves all the messages that you don’t  delete on the email service provider’s servers, in addition to copying them to your email program. In this case, the act of downloading and viewing your email does not free up any space against your quota — only actually deleting messages will do that.

If you use IMAP, which is a common default these days, and are reaching your provider’s email quota, you have three options to resolve the issue:

  • Ask your email provider for a larger quota. This may or may not be available, and may or may not require payment.
  • Delete messages. This might be the most practical approach if you want to keep using IMAP. If there are messages you want to save, perhaps save them to disk before deleting them from your email program. Depending on your email program, this can be as simple as moving them to a local folder.
  • Switch to POP3 . More on that next.

POP3 and over quota

When you download email from a POP3 server, it’s downloaded to your machine and normally removed from the mail server. Thus the act of downloading email to your email program automatically frees up space counting against your quota.

There is an obscure setting I occasionally see set when people don’t expect it: “Leave a copy of messages on the server”.

The location of the setting varies depending on the email program you’re using, but the effect is the same: rather than removing the messages from your mail server when you download, it leaves them there, and they continue to count against your quota .

In addition to asking for a larger quota, as above, your options here include:

  • Turn this off, and remember that your computer will have the only copy of messages once they’re downloaded, so make sure you’re backing up!
  • Set or shorten the length of time after which email is automatically deleted.
  • Make sure to check the checkbox to immediately delete emails on the server when you delete them on your computer.

The bottom line is that if you’re over quota, you need to change how you manage your email so less space is used on your email service provider’s servers.

The impact of mobile email

One of the reasons you might be seeing “over quota” messages a little more often of late is the rise of mobile email. In addition to reading and dealing with email on your computer, you might also be using a mobile device, such as a mobile phone.

The “problem”, so to speak, is keeping your phone and your desktop email program “in sync” so that your view of email on both devices is roughly the same. Emails marked as “read” on one are marked “read” on the other, emails deleted on one disappear from the other, and so on.

The most common solution is IMAP. As I mentioned above, using IMAP, the “master copy” of your email is left on the email provider’s server, and your desktop and mobile devices are simply views of that master copy, though they may download local copies just to make things faster. Of course, as we’ve seen, IMAP leaves all the email on the server, making it more likely to run into a quota issue.

The other common solution is to enable “Leave a copy of messages on the server” in POP3. Again, as we’ve seen, that also makes greater use of the storage at your email service provider, and can similarly cause quotas to be reached more quickly.

The solutions remain the same: get a larger quota from your email provider, or save less email.

Regarding the use of either POP3 or IMAP.

Is it a choice?

I was under the impression that you had to comply with the requirements of your ISP, so it was they who specified whether your account was POP3 or IMAP controlled.

Is it an end-user choice after all, depending on your personal requirements?

The choice between IMAP and POP3 is offered by almost all providers. It depends on your provider. As for a quota problem, you could open a GMAIL account which has enough room for most people’s email needs as Leo said almost 17GB. The quota is slowly increasing so that by the time you read this, it may be more. You could then tell everyone about your new Gmail acct and keep your old address open for stragglers who might try to email you for years after switching to Gmail. I never close an email account, I just tell everyone about my new acct and stop giving the old one to people. But then I usually check my old address occasionally for people I may have forgotten to tell my new address to. I’ve gotten emails from people I haven’t seen in years on my old accounts. I know Leo doesn’t recommend free emails, but if you use the email address of your ISP and you change ISPs for some reason you can lose a lot of emails.

Can someone please tell me what sort of wording the email provider uses when notifying a sender that their email has been bounced. ( I have never seen such a notice, unless they just send a general notice stating that the mail is undeliverable. And if this is what happens it surely must be unfortunate, for many people will not think of trying to send the email again in a week or two I should think.

At this time, with the Internet being so much faster than it used to be, more and more people are attaching large attachments like photographs that are multiple mega bytes in size. A few of those will clog up an in box very quickly.

Sometimes when you run into problems with being over quota, a call to your ISP may help. I had this happen a couple of times and the ISP set up a temporary folder for my incoming emails that were over quota so that the inbox was within limits. This temporary folder had to accessed directly online and not through my email client. I was given a time limit of a couple of hours to download the messages and delete them from their mail server. After that, all messages older than the current day were going to be deleted.

It pays to be on good terms with your ISP:)

So that’s one way to get more storage if you’re using Gmail.

Another thing you can do to get more storage space if you don’t want to change your email address or pay for more storage is to open a Gmail account and have Gmail download your emails from your original email account. That way your emails are cleaned from the server and store on Google’s servers. Another way to save space is to remove the attachments from your emails after you’ve downloaded them. Thunderbird, Outlook and some other email programs give you that option.

Also check the ‘trash’ folder. Sometimes those contents also count to the quota. I ran into that once-upon-a-time.

Very good point. The trash and spam folders can both count.

Here’s something you’ll want to check: Go to your email provider’s webmail access (using your browser, log in to your email online, without using your email client like Outlook or Thunderbird). Then go through your Spam (or Junk) folder and clean everything out. Finally, go through your Trash folder, and clear that out. All those files count as part of your “quota,” so cleaning up your webmail folders regularly should provide more room for actual emails. For example, if you have a 3GB quota (limit) on emails and you have 2GB of junk files, you effectively have only 1GB of space for new emails, which can fill up quickly. Hopefully this will help with your email problem.

I use iMap to keep everything in sync. However, on one computer, I have a Thunderbird local folder on the hard drive. Any emails that I want to save, but not need to have access to on every device, I save in the local folder. This keeps my inbox cleaner and less likely to go over the quota.

Yahoo offers 1 terabyte of storage for email, way more than the examples shown in this article.

I believe that is multiple millions of messages, plenty for most folk I would think.

Using a program like Thunderbird to download messages to your own computer may assuage the fears of some that one day all their email may have inexplicably been deleted from Yahoo servers. This way you can have email on your own computer plus on the Yahoo servers for easy access from any device.

We moved from using POP3 with a 50MB provider, to using IMAP with a 2GB provider. Was shocked to see how easy it was to still run out of space.

With the old arrangement we set POP3 to “Remove from the server after 14 days”. This allowed for multiple access by BlackBerry etc. before being finally deleted from the server. Sometimes we had to log on to webmail and clear some messages if we ran out of space prematurely.

My solution now with IMAP which doesn’t download and delete is to use the Archive feature in Microsoft Outlook. Archiving deletes messages from my regular folders and moves a copy to local Archive folders on the computer. The delete action synchronizes with the folders on the server and frees up space. (Deleted items go to Trash which is still a part of the account, so Trash has to be cleared also.)

I set Archive to run automatically every 2 weeks and archive anything older than 6 months. A colleague of mine receives much heavier emails than mine due to the nature of his job, so I had to set his to archive anything older than 3 months. Our laptops are backed up continuously, so hopefully the Archive folders should never be lost, and we get to keep all our mail.

Tony’s solution can be applied in other ways. If you use a client like Thunderbird you can move e-mails to an off-line folder. Obviously you then need to take responsibility for ensuring the off-line folders are backed up.

On my yahoo account I got a mail daemon saying google account is over quota. I have read the articles. There are 3 G mail accounts. 2 are mine 1 is my husbands. His is used by an android phone as well. I read the article info; but am unclear as to the INDIVIDUAL account – part and where on the G mail account to delete garbage, advertisements and spam. I do not want to lose what is there particularly playing around with my settings and ending up maybe loosing his saved stuff inadvertently. Also I want to have my G mail account come up on the Desk top computer as 1 it is a school email. There used to be a spot to click on change user, but I do not see it anymore. As I have 2 accounts I would like to switch back and forth to I am not clear on how to set that up or IF I have ability to do so anymore. My Yahoo account has a g link but something says it is not in sinc even though I went into tools, all information appears correct. So my ? here is can I set up just my G mails to delete and can I set it so I can go directly to my g mails through Yahoo link? I know basics but admit to not being a wiz.

If using IMAP, does moving emails to Local Folders remove them from the server and free up quota room?

Yes. Moving an email from an IMAP folder to a local folder would remove it from the server and all other devices which are synced with that IMAP account.

I have i email of 10,800 bits and I cannot delete it because it is over quota. It seems to be a scam or spam. It is clogging up my email system. What can I do?

I went over quota on my gmail because I had too many pictures on my google photos! I had cleaned out ALL mail but was still way over. It took a very long time to figure this out! Now I have to dump all those photos onto my computer and will close down google photos.

Good point, services like Google give you an overall data cap. Things stored in Google photos and Google are included in that cap. One workaround is to open another Google account to store your photos or use Flickr or other photo storage services. It’s also very important to have a backup copy of everything you have out on the cloud. Since everything should be backed up, it would be a good idea to have a USB hard drive for system image backups and a copy of the files you have on the cloud.

I have about 19 emails in my Inbox…Comcast. I was unloading photos from my iphone to this Computer and after about 18 transfers I received the message that my mailbox was over Quota….???…..what is this all about and what is the fix? Thanks

You’d have to check with Comcast, I think. Basically you have too much email in your online account.

Sales Quotas – Definition and Structures

At Sales Cookie , we help our customers automate their sales incentive programs. Some of those organizations use quotas – some don’t. More importantly, the meaning of “quota” varies from organization to organization. Let’s get started!

What Do You Mean By Quota?

Do you want to use quotas to:

  • With no payout under quota?
  • With punitive payouts under quota?
  • With a payout trigger once quota has been met?
  • Define standard, on-target sales goals?
  • Pro-rate revenue to calculate commissions?

Quotas As An Expected Minimum

Some organizations use quotas to specify the  minimum acceptable sales performance they expect from their sales force. For example, an incentive plan could pay nothing while under quota. Or it could pay a punitive 2% of revenue while under quota.

Sometimes, only revenue or profit above quota is eligible for commissions. In other cases, the quota behaves as a retroactive trigger. Once the quota is met, all accrued revenue (including revenue under quota) becomes eligible for a payout.

Organizations which use quotas to specify minimum acceptable performance often refer to “quota retirement” to indicate that a rep has met quota – and so can start earning more substantial sales commissions.

Quotas As An On-Target Goal

Other organizations use quotas NOT as minimums, but to specify reasonable, yet challenging goals – essentially a norm. In this case, quotas simply define expected sales performance . Assuming this standard level of sales performance is delivered, reps should expect a corresponding amount called the on-target commission.

For example, you could define a monthly quota of $100K, which, if attained, will deliver a standard, on-target $5K incentive. However, because your quota now represents a standard (not the minimum acceptable), some reps could fail to reach quota.

For this reason, many organizations include other attainment levels, such as 50% and 75% of quota. Those attainment levels usually have different payout levels. Only reaching 100% of quota delivers the on-target expected variable incentive associated with “meeting goals”. Of course, you can still have higher level of attainment with juicier payouts!

Quotas As A Way To Pro-Rate Actuals

Some organizations don’t expect their reps to attain any specific quota. Instead, they use quotas as a “reference number” used to calculate commissions in a pro-rated manner. Those organizations typically do not use attainment levels in their plan’s definition.

For example, you could define a monthly quota of $100K, and an on-target commission of $5K. To calculate commissions, simply divide actuals by quotas, and multiply the result by the on-target commission.

For example, if a rep attains $50K during a month, they will receive 50 / 100 * 5 = $2.5K. If a rep attains $200K during a month, they will receive 200 / 100 * 5 = $10K. As you can see there are no attainment levels. The quota is just a number used to pro-rate actuals and calculate commissions. You can still introduce accelerators for higher levels of attainment.

Defining a Quota Period

Let’s talk about quota periods. Here are some options (we’re assuming a monthly schedule, but this would apply to quarterly quotas as well):

  • Quotas which are set real-time
  • Quotas which are set ahead of time
  • Cumulative YTD quotas

Quotas Set Real-Time

In this model, you define quotas as you go. For example, you might start working on February quotas mid-January after observing new trends. This keeps your incentive program agile. However, there is recurring administrative and planning work. And, every period, you also have to communicate and justify quotas to your sales force.

Quotas Set Ahead Of Time

In this model, you pre-define quotas ahead of time. For example, each year, you would define quotas for January, February, March, etc. Some organizations define a yearly quota, which is then divided by 12. More sophisticated sales organizations adjust quotas based on known seasonal variations (ex: February is shorter, December is slower, etc.).

In this model, you are no longer working with individual monthly quotas. Instead, you define cumulative quotas, from the beginning of the year. Using fixed quotas, thresholds are defined using absolute values. For example, you could define an incentive plan with the following levels of attainment:

  • $0 – $100K  – 5% of revenue
  • $100K – $150K – 8% of revenue
  • $150K+ – 10% of revenue plus a cash bonus

Your implied quota in this case is $100K. Attainment thresholds are fixed values.

Using percentage quotas, thresholds are defined as percentages of a quota value. For example, you could define an incentive plan with the following levels of attainment:

  • 0 – 100% – 5% of revenue
  • 100 – 150% – 8% of revenue
  • 200%+ – 10% of revenue plus a cash bonus

And you would then define a quota of $100K. This quota would typically vary depending on the individual or territory.

Per Plan Vs. Role Vs. Individual Quotas

Most incentive plans either define quotas at the plan level, or at the individual level. A few incentive plans define quotas at the role level (ex: all AEs share the same quota).

If your quotas are per-plan, using fixed quota thresholds make sense. Otherwise, if you want to use the same plan across individuals or territories, a percentage-based approach is a must. This approach lets you re-use the same incentive plan, but pull dynamic different quota values (which depend on the individual).

If you want to use individual quotas, be prepared for some data entry! As shown below, you may need to enter up many values per rep. Make sure to use a tool which makes this process easy. Your tool should also be able to specify the applicable time range for each quota value you entered.

Setting Appropriate Quota Values

Calculating commissions is a science, but designing commission plans is an art! Indeed, the reason why you have a sales incentive program is to motivate your sales force. Setting quotas correctly therefore requires an understanding of sales psychology, plus the ability to meet budgetary constraints, a knowledge of financial forecasting, and even some creativity .

We generally recommend the following:

  • Some of your reps could give up mid-period when they could have contributed some effort.
  • Use a commission management solution capable of doing this.
  • 15% of reps should fail to reach quota
  • 70% of reps should reach quota
  • 15% of reps should exceed quota

Quota-Free Plans

Do you need to use quotas for your incentive program? The answer is – not necessarily. Many successful commission plans have no quota. Those plans could:

  • Pay commissions based on profit – no need for quotas!
  • Define attainment thresholds & associated payouts without a “primary” quota
  • Define business goals which, when attained, trigger bonuses

If you don’t feel like having a “very significant number” for your incentive plan, don’t use quotas. Nobody will blame you for, it and declaring your commission program as quota free may even improve your sales culture.

What Is No Quote?

No quote refers to a stock or other security that is inactive or not currently being traded, and so no current two-sided market readily exists. A no quote stock therefore does not have a current bid or ask price.

No quote stocks may be infrequently traded and thus difficult to buy or sell, making them illiquid . When the stock is eventually traded, it may have a very wide spread between the bid and ask price relative to that of an active stock.

How a No Quote Works

Listed stocks are required to have designated market makers available to provide bid and ask volume on each side of the market available for purchase or sale, either on an on-going basis or whenever there is an explicit request for a quote (RFQ).

Some securities, however, do not have any market makers. For instance, they may trade over the counter (OTC) or have been de-listed from an exchange. When a security has no active market makers, or a lack of available buyers and sellers, there is nobody to quote the market and so the security is a no quote.

A no quote stock would thus be considered highly illiquid. Illiquid securities come with higher risk because with few buyers or sellers, it may be difficult to get into or out of the security at the price desired. Most securities traded on major exchanges are liquid and can be bought and sold at any time during trading hours.

A very small company would be more likely to have no quote on their shares than a nationally recognized and established blue chip company.

If you are the holder of a no quote security and would like to dispose of it, you may need to enlist the aid of a broker who is able to solicit bids from potential market participants. These parties may be hedge funds, investment banks, or other institutional clients who do not mind the lack of liquidity and are willing to buy the security at a discount to make it worthwhile for them. The holder could also post their offer in the market and leave it there. By posting a limit order to sell, it may attract a buyer who sees the offer to sell and seizes the opportunity.

In some cases, no buyer can be found at all, in which case the owner of the no quote security has no choice but to keep holding on to the security, or write it off as a loss with a market value implicitly of zero.

Grey Market and Dark Pools

Some stocks trade in a grey market . This means there are buyers and sellers, but they can't see each other's bids and offers. A price chart or time and sales will reveal that transactions are occurring. In this type of market, traders will typically probe for liquidity with limit orders, so they only transact within a specified price range.

This is different than dark pools which are private exchanges, operating on publicly traded stocks, that execute trades without showing the orders on a public order book or Level II. Once a trade occurs, the trade is shown on the time and sales .

Example of a No Quote Stock

In order for a stock to regularly have no quote, it needs to have virtually no interest in it, and therefore, it is unlikely to remain listed on a major exchange for long. Therefore, most people are unlikely to come across a no quote stock unless they are looking at very small and obscure OTC stocks.

To get a feel for what a no quote stock may look like, look at the Level II of a small listed company after the stock exchange officially closes, or before the stock market officially opens. A stock that typically trades at $20 or $50 during market hours may have no bids or offers after-hours or in the pre-market . In this case, the stock may actually have a bid price of zero, or will simply show nothing, and same with the offer. Dealing with hundreds of no-quotes per day has become a normal part of work. What can suppliers and buyers do to cut this number down?

Let’s examine a scenario. You’re searching for a specific replacement part to get your operations back on track. You scan the locator services and find the exact one you’re looking for, so you go ahead and submit an RFQ. Two days later, you get a response, or rather a non-response – a “no-quote.” And chances are, it’s bare, with no note or reason in sight, leaving you with the burning question – Why?

To gain some insight why this happens, we analyzed an anonymized [1] sample of recent no-quotes returned to the buyer. Only about 5% of no-quotes are accompanied by a text description. While there are certainly limitations on how accurately such a small sample represents reality, hopefully these tidbits provide a glimpse into what's happening behind the scenes.

An obvious place to start this examination is the top reasons:

At the top of the list, “No stock” comes in as the most common explanation. As it turns out, there are over 50 common ways to say you don’t have stock, with the most popular being, go figure, “No stock”.

After that, the second most prominent reason is OEM restrictions on who can buy certain parts.  For example, some manufacturers only allow operators (or shops directly contracted with operators) to purchase new parts. Any intermediaries receive a no-quote.

Next come two broad categories: condition or quantity mismatch between what the seller has and the buyer wants. Both condition (10%) and quantity (9%) issues can be traced to multiple causes. Sometimes, there are not enough cycles remaining on the part. Other times, the seller has a minimum order total and asks the buyer to buy more. Later in the post, we’ll examine the condition and quantity issues in more detail.

5% of no-quotes ask the buyer to make a price offer, adding another back-and-forth to the transaction. Another 5% provide no further information, for example: "Sorry, I have to no quote you."

There are a significant number of no-quotes returned because the buyer doesn’t include the target “cycles remaining” (CR) in their RFQ. As a buyer, including your target CR in the RFQ makes you 50% more likely to get a response!

That being said, it’s still possible for sellers to provide a buyer several options if target CR isn’t provided. Providing options materially increases the chance of a PO.

Of all quantity-related no-quotes, a majority (65%) come from a minimum quantity that the buyer doesn’t clear. Regardless of whether the buyer isn’t seeing the minimum or the seller isn’t listing it, a fair amount of time is used to submit and respond to these RFQs.

In fewer cases (7%), the seller has a minimum, but they also don’t have enough stock of the desired part for the buyer to meet that minimum. In this case, the buyer must add other parts to the purchase to reach that minimum.

The remainder of no-quotes -- the “Other” 25% shown in the first graph -- are split rather evenly among categories. Often, these are situations where the request calls for some kind of special processing or bespoke solution.

  • Provide options and/or alternates to the buyer if the RFQ doesn’t match exactly what you have, e.g., a different CR or condition

What can a buyer do to get the best response rate?

  • Provide as much information on the RFQ as you can, e.g,. target CR, acceptable conditions and trace
  • Review seller minimums before sending an RFQ

Sometimes, a no-quote is unavoidable. However, doing a few simple things can drive them down and allow you to spend more time selling!
