First, what is academic writing? Most students see writing as something they just have to do because a teacher says so, and it becomes a painful and time-consuming assignment. Our mission is to end this kind of thinking.

The basic structure of an essay always consists of an introduction , a body , and a conclusion . But for many students, the most difficult part of structuring an essay is deciding how to organize information within the body.

There are two main things to keep in mind when working on your essay structure: making sure to include the right information in each part, and deciding how you’ll organize the information within the body.

Parts of an essay

The three parts that make up all essays are described in the table below.

Order of information

You’ll also have to consider how to present information within the body. There are a few general principles that can guide you here.

The first is that your argument should move from the simplest claim to the most complex . The body of a good argumentative essay often begins with simple and widely accepted claims, and then moves towards more complex and contentious ones.

For example, you might begin by describing a generally accepted philosophical concept, and then apply it to a new topic. The grounding in the general concept will allow the reader to understand your unique application of it.

The second principle is that background information should appear towards the beginning of your essay . General background is presented in the introduction. If you have additional background to present, this information will usually come at the start of the body.

The third principle is that everything in your essay should be relevant to the thesis . Ask yourself whether each piece of information advances your argument or provides necessary background. And make sure that the text clearly expresses each piece of information’s relevance.

The sections below present several organizational templates for essays: the chronological approach, the compare-and-contrast approach, and the problems-methods-solutions approach.

The chronological approach (sometimes called the cause-and-effect approach) is probably the simplest way to structure an essay. It just means discussing events in the order in which they occurred, discussing how they are related (i.e. the cause and effect involved) as you go.

A chronological approach can be useful when your essay is about a series of events. Don’t rule out other approaches, though—even when the chronological approach is the obvious one, you might be able to bring out more with a different structure.

Essays with two or more main subjects are often structured around comparing and contrasting . For example, a literary analysis essay might compare two different texts, and an argumentative essay might compare the strengths of different arguments.

There are two main ways of structuring a compare-and-contrast essay: the alternating method, and the block method.

Alternating

In the alternating method, each paragraph compares your subjects in terms of a specific point of comparison. These points of comparison are therefore what defines each paragraph.

  • Sum up, emphasize that distance learning introduces more difficulties than it solves

  • Distance learning may prove to be the future, but it still has a long way to go

In the block method, each subject is covered all in one go, potentially across multiple paragraphs. For example, you might write two paragraphs about your first subject and then two about your second subject, making comparisons back to the first.

  • Advantages: Ease of picking up on signs a student is struggling, more personal interaction among students
  • Disadvantages: May be harder for students to approach teacher privately in person to raise issues

An essay that concerns a specific problem (practical or theoretical) may be structured according to the problems-methods-solutions approach.

This is just what it sounds like: You define the problem, characterize a method or theory that may solve it, and finally analyze the problem, using this method or theory to arrive at a solution. If the problem is theoretical, the solution might be the analysis you present in the essay itself; otherwise, you might just present a proposed solution.

Signposting means guiding the reader through your essay with language that describes or hints at the structure of what follows.  It can help you clarify your structure for yourself as well as helping your reader follow your ideas.

The essay overview

In longer essays whose body is split into multiple named sections, the introduction often ends with an overview of the rest of the essay. This gives a brief description of the main idea or argument of each section.

The overview allows the reader to immediately understand what will be covered in the essay and in what order. Though it describes what  comes later in the text, it is generally written in the present tense . The following example is from a literary analysis essay on Mary Shelley’s Frankenstein .

Transitions

Transition words and phrases are used throughout all good essays to link together different ideas. They help guide the reader through your text, and an essay that uses them effectively will be much easier to follow.

Various different relationships can be expressed by transition words, as shown in this example.

Because Hitler failed to respond to the British ultimatum, France and the UK declared war on Germany. Although it was an outcome the Allies had hoped to avoid, they were prepared to back up their ultimatum in order to combat the existential threat posed by the Third Reich.

Transition sentences may be included to transition between different paragraphs or sections of an essay. A good transition sentence moves the reader on to the next topic while indicating how it relates to the previous one.

The structure of an essay is divided into an introduction that presents your topic and thesis statement , a body containing your in-depth analysis and arguments, and a conclusion wrapping up your ideas.

The structure of the body is flexible, but you should always spend some time thinking about how you can organize your essay to best serve your ideas.

An essay isn’t just a loose collection of facts and ideas. Instead, it should be centered on an overarching argument (summarized in your thesis statement ) that every part of the essay relates to.

The way you structure your essay is crucial to presenting your argument coherently. A well-structured essay helps your reader follow the logic of your ideas and understand your overall point.

Comparisons in essays are generally structured in one of two ways:

  • The alternating method, where you compare your subjects side by side according to one specific aspect at a time.
  • The block method, where you cover each subject separately in its entirety.

It’s also possible to combine both methods, for example by writing a full paragraph on each of your topics and then a final paragraph contrasting the two according to a specific metric.

You should try to follow your outline as you write your essay . However, if your ideas change or it becomes clear that your structure could be better, it’s okay to depart from your essay outline . Just make sure you know why you’re doing so.

It represents us when we are absent in space and in time.  Writing expresses who we are, even after our life time.  It makes our knowledge, our personal aspirations and our work for the future visible to others. Writing is the means to explain our ideas to ourselves and to others while preserving our personal experiences and our memories. No one else can do it for you. In this way, writing connects you with yourself. Writing is not fleeting; it is permanent.  It is a record of what you wished to communicate at a point in time.

Writing enables you to reach a much larger audience, in many places and over time. Keep this in mind, if you want an on-line presence. If writing was judiciously planned, thoughtfully written and designed for the intended readers, it lives on in the minds of those who read it.  If you are reading this and it made sense to you, it means that the writer directed the message to you.

How writing helps you to develop

To write well, you must organize your thoughts, explain your arguments, present your supporting evidence and lead your reader to a shared conclusion. If the reader disagrees, he or she should be able to find each of your arguments for rebuttal. Writing enables you to vividly recall past events, describe a special experience or sell a vision.  You rely on critical thought in your conceptualization, on clear articulation through choice of words and structure and on effective sharing of information by writing for the reader, not just yourself. Writing harnesses the transformative power of the written word to improve your life and to change the world around you.

Effective writing

Good writing targets the reading audience. It is adapted to the medium: Digital or print? Formal or informal? Light or serious? The task is accomplished if the message is communicated clearly but it is effective, if it is remembered. Skilled writing produces a response in the reader by stimulating thought, evoking an emotion and stirring to action. It is the reason you read a favourite book a second time. 

Improve writing skills

Thankfully, writing is a skill which can be learned like any other. Furthermore, the learned skill will serve you all your life. 

  • Read widely.  Reading a variety of material will help to grow your vocabulary and introduce you to different styles of expression. If you read an unfamiliar word, look it up. Your reading vocabulary is larger than your written one, but you can work to reduce the gap between them by using the new words you learn in your writing.
  • Capture your ideas in writing. This requires strategic thinking in order to sharpen your focus to make ideas clearly understood.
  • Practice. The more you write, the easier it will be to develop a personal style that is recognizable. Like most skills, practice will make writing easier and more effective.
  • Target your communication. Keep your reader in mind when writing.  Careful choice of appropriate words and selection of the right length of communication will help to discipline your writing. 
  • Rely on good writing practices.  Always read what you have written before sending it to others. A good trick is to read your work aloud, when many of its shortcoming become evident.  Correct your spelling and grammatical errors. Check for organization of ideas, sentence structure and logic flow in paragraphs. Will your readers understand your message and respond the way you wish? Will you be happy with your writing if you read it much later?
  • Examine examples. Reading the Curriculum vitae of others can show you the best way to showcase your own skills and job experiences.
  • Benefit from responses and feedback. Readers responses provide valuable lessons for future writing. Questions can show you where the message was not clear. Thank readers when they quote you, repeat your message or share your writing with others.

Remember that the process of writing should be enjoyable. Writing is serious business when its impact is important.  But write also for fun, taking pleasure in a turn of phrase, a touch of humour and word play. Writing skills will then come naturally to you. When you write your name under what you wrote, you should experience a feeling of accomplishment.

The standards used to write academic papers can be successfully adapted to the written business communication.

Thus, the importance of academic writing for business communication and for working out business plans depends on such principles and purposes of academic writing as the clear and strict structure of the paper, the stress on the paper’s objective, and the strong argument supported with credible evidences and data because the mentioned factors are important to write an effective business plan and to state the definite opinion.

Purpose & Principles of Academic Writing

The usage of the principles of academic writing for the written business communication and development of business plan is possible with references to the strict rules used to organize academic papers of different types.

It is almost impossible to write the paper and discuss it as an academic one when the definite structure is not followed. The development of the business plan is also based on the clear structure according to which the business plan should present its purpose, the main argument or goal, and the points to be addressed and implemented into practice.

The relevance of the proposed actions should depend on the credible evidences and current data to receive the real picture of the situation and develop the most effective strategy or plan. From this point, the skills used to write the academic paper with the clear structure are also necessary to develop the effective business plan which is easy to be implemented because all the necessary points are mentioned and explained.

Academic papers are written to achieve the definite aim. Thus, the papers are developed to persuade, to argue, to describe, and to contrast and compare facts. The ability to stress on the definite objective and complete it in writing is important to developing business papers such as business plans.

As a result, the writing can be discussed as academic when the definite academic goals are achieved with the help of developing different types of papers. To provide the effective written work, it is important to think and act as an academician. It is necessary to read the appropriate books, to discuss the important issues, and to explore the significant information in order to achieve the goal of writing this or that text (Elbow, 1995, p. 72).

From this perspective, to write as a businessman means to write as a person who intends to achieve the definite goal with providing the perfectly structured text which is developed to complete the certain objective. For instance, the main objective of developing a business plan is to provide the effective plan of actions which is designed to overcome the definite issue or propose some strategies.

The academic paper is discussed as strong when it is based on the clear and well-developed argument which is supported by credible evidences. In business communication, it is always important to pay attention to the audience. Thus, the audience of academic writing is often the persons who can have the greater knowledge of the field than the author of the text (Elbow, 1995, p. 81).

That is why, the task of the writer is to provide the effective argument which is carefully developed and supported with reliable facts and evidences to persuade the audience in the writer’s competence in relation to the topic discussed (Hoffman & Ford, 2009). Referring to the example of the business plan, it is possible to note that the successfully structured business plan cannot be discussed as effective, if it is not based on convincing evidences and current data.

The opponents of this idea can state that business writing is correlated with the academic writing only formally. However, persons who are involved in the realities of the business world agree that it is the task of the businessman and writer to operate the information efficiently and organize the paper which meets requirements of the business communication (Ann & David, personal communication, 2013). The skills and principles used in academic writing are important to complete these tasks.

Businessmen should know what to say to the public. If the statement is presented in the written form, it should be organized and formatted more properly than the oral speech.

That is why, the principles of academic writing are helpful to develop business plans, reports, and observations in order to present the material in an effective manner to achieve the definite goal. The written communication is one of the key aspects of business professions that is why the basic principles of academic writing can affect the person’s success in business writing.

9.3 Organizing Your Writing

Learning objectives.

  • Understand how and why organizational techniques help writers and readers stay focused.
  • Assess how and when to use chronological order to organize an essay.
  • Recognize how and when to use order of importance to organize an essay.
  • Determine how and when to use spatial order to organize an essay.

The method of organization you choose for your essay is just as important as its content. Without a clear organizational pattern, your reader could become confused and lose interest. The way you structure your essay helps your readers draw connections between the body and the thesis, and the structure also keeps you focused as you plan and write the essay. Choosing your organizational pattern before you outline ensures that each body paragraph works to support and develop your thesis.

This section covers three ways to organize body paragraphs:

  • Chronological order
  • Order of importance
  • Spatial order

When you begin to draft your essay, your ideas may seem to flow from your mind in a seemingly random manner. Your readers, who bring to the table different backgrounds, viewpoints, and ideas, need you to clearly organize these ideas in order to help process and accept them.

A solid organizational pattern gives your ideas a path that you can follow as you develop your draft. Knowing how you will organize your paragraphs allows you to better express and analyze your thoughts. Planning the structure of your essay before you choose supporting evidence helps you conduct more effective and targeted research.

Chronological Order

In Chapter 8 “The Writing Process: How Do I Begin?” , you learned that chronological arrangement has the following purposes:

  • To explain the history of an event or a topic
  • To tell a story or relate an experience
  • To explain how to do or to make something
  • To explain the steps in a process

Chronological order is mostly used in expository writing , which is a form of writing that narrates, describes, informs, or explains a process. When using chronological order, arrange the events in the order that they actually happened, or will happen if you are giving instructions. This method requires you to use words such as first , second , then , after that , later , and finally . These transition words guide you and your reader through the paper as you expand your thesis.

For example, if you are writing an essay about the history of the airline industry, you would begin with its conception and detail the essential timeline events up until present day. You would follow the chain of events using words such as first , then , next , and so on.

Writing at Work

At some point in your career you may have to file a complaint with your human resources department. Using chronological order is a useful tool in describing the events that led up to your filing the grievance. You would logically lay out the events in the order that they occurred using the key transition words. The more logical your complaint, the more likely you will be well received and helped.

Choose an accomplishment you have achieved in your life. The important moment could be in sports, schooling, or extracurricular activities. On your own sheet of paper, list the steps you took to reach your goal. Try to be as specific as possible with the steps you took. Pay attention to using transition words to focus your writing.

Keep in mind that chronological order is most appropriate for the following purposes:

  • Writing essays containing heavy research
  • Writing essays with the aim of listing, explaining, or narrating
  • Writing essays that analyze literary works such as poems, plays, or books

When using chronological order, your introduction should indicate the information you will cover and in what order, and the introduction should also establish the relevance of the information. Your body paragraphs should then provide clear divisions or steps in chronology. You can divide your paragraphs by time (such as decades, wars, or other historical events) or by the same structure of the work you are examining (such as a line-by-line explication of a poem).

On a separate sheet of paper, write a paragraph that describes a process you are familiar with and can do well. Assume that your reader is unfamiliar with the procedure. Remember to use the chronological key words, such as first , second , then , and finally .

Order of Importance

Recall from Chapter 8 “The Writing Process: How Do I Begin?” that order of importance is best used for the following purposes:

  • Persuading and convincing
  • Ranking items by their importance, benefit, or significance
  • Illustrating a situation, problem, or solution

Most essays move from the least to the most important point, and the paragraphs are arranged in an effort to build the essay’s strength. Sometimes, however, it is necessary to begin with your most important supporting point, such as in an essay that contains a thesis that is highly debatable. When writing a persuasive essay, it is best to begin with the most important point because it immediately captivates your readers and compels them to continue reading.

For example, if you were supporting your thesis that homework is detrimental to the education of high school students, you would want to present your most convincing argument first, and then move on to the less important points for your case.

Some key transitional words you should use with this method of organization are most importantly , almost as importantly , just as importantly , and finally .

During your career, you may be required to work on a team that devises a strategy for a specific goal of your company, such as increasing profits. When planning your strategy you should organize your steps in order of importance. This demonstrates the ability to prioritize and plan. Using the order of importance technique also shows that you can create a resolution with logical steps for accomplishing a common goal.

On a separate sheet of paper, write a paragraph that discusses a passion of yours. Your passion could be music, a particular sport, filmmaking, and so on. Your paragraph should be built upon the reasons why you feel so strongly. Briefly discuss your reasons in the order of least to greatest importance.

Spatial Order

As stated in Chapter 8 “The Writing Process: How Do I Begin?” , spatial order is best used for the following purposes:

  • Helping readers visualize something as you want them to see it
  • Evoking a scene using the senses (sight, touch, taste, smell, and sound)
  • Writing a descriptive essay

Spatial order means that you explain or describe objects as they are arranged around you in your space, for example in a bedroom. As the writer, you create a picture for your reader, and their perspective is the viewpoint from which you describe what is around you.

The view must move in an orderly, logical progression, giving the reader clear directional signals to follow from place to place. The key to using this method is to choose a specific starting point and then guide the reader to follow your eye as it moves in an orderly trajectory from your starting point.

Pay attention to the following student’s description of her bedroom and how she guides the reader through the viewing process, foot by foot.

Attached to my bedroom wall is a small wooden rack dangling with red and turquoise necklaces that shimmer as you enter. Just to the right of the rack is my window, framed by billowy white curtains. The peace of such an image is a stark contrast to my desk, which sits to the right of the window, layered in textbooks, crumpled papers, coffee cups, and an overflowing ashtray. Turning my head to the right, I see a set of two bare windows that frame the trees outside the glass like a 3D painting. Below the windows is an oak chest from which blankets and scarves are protruding. Against the wall opposite the billowy curtains is an antique dresser, on top of which sits a jewelry box and a few picture frames. A tall mirror attached to the dresser takes up most of the wall, which is the color of lavender.

The paragraph incorporates two objectives you have learned in this chapter: using an implied topic sentence and applying spatial order. Often in a descriptive essay, the two work together.

The following are possible transition words to include when using spatial order:

  • Just to the left or just to the right
  • On the left or on the right
  • Across from
  • A little further down
  • To the south, to the east, and so on
  • A few yards away
  • Turning left or turning right

On a separate sheet of paper, write a paragraph using spatial order that describes your commute to work, school, or another location you visit often.

Classification of Essays 

Essay writing has been classified under two broad categories which are:

  • Formal essays
  • Informal essays 

Formal Essays:

These are also referred to as impersonal essays. They are often written in corporate settings and may require research, facts, and evidence to back them up. Some formal essays are written in the 3rd person voice or view.

Informal Essays:

Writing informal essays may not require a lot of research like formal essays. Essays like this can also be referred to as personal essays and are often written in the first person point of view. They can be subjective and conversational in nature and the author may freely express his/her opinions without necessarily providing evidence to prove them.

Structure of An Essay

To guide your essay writing, the structure of the essay sometimes called the shape of an essay is often broken down into 3 parts:

  • The main Body
  • Conclusion 

An introduction:

This is where you present your topic, offer your reader background and provide a thesis statement if you have any. The introduction of an essay usually contains;

The Main Body: 

Writers often use the body of their essay to express more clearly and broadly the statements or ideas in their introduction. When writing an essay, you can use the body to explain core arguments, give clear analysis, and present evidence to back up your claims. Conclusion:

“Write down a phrase you find abhorrent — something you yourself would never say.”

My students looked startled, but they cooperated. They knew I wouldn’t collect this exercise; what they wrote would be private unless they chose to share it. All that was required of them was participation.

In silence they jotted down a few words. So far, so good. We hadn’t yet reached the hard request: Spend 10 minutes writing a monologue in the first person that’s spoken by a fictitious character who makes the upsetting statement. This portion typically elicits nervous glances. When that happens, I remind students that their statement doesn’t represent them and that speaking as if they’re someone else is a basic skill of fiction writers. The troubling statement, I explain, must appear in the monologue, and it shouldn’t be minimized, nor should students feel the need to forgive or account for it. What’s required is simply that somewhere in the monologue there be an instant — even a fleeting phrase — in which we can feel empathy for the speaker. Perhaps she’s sick with worry over an ill grandchild. Perhaps he’s haunted by a love he let slip away. Perhaps she’s sleepless over how to keep her business afloat and her employees paid. Done right, the exercise delivers a one-two punch: repugnance for a behavior or worldview coupled with recognition of shared humanity.

For more than two decades, I’ve taught versions of this fiction-writing exercise. I’ve used it in universities, middle schools and private workshops, with 7-year-olds and 70-year-olds. But in recent years openness to this exercise and to the imaginative leap it’s designed to teach has shrunk to a pinprick. As our country’s public conversation has gotten angrier, I’ve noticed that students’ approach to the exercise has become more brittle, regardless of whether students lean right or left.

Each semester, I wonder whether the aperture through which we allow empathy has so drastically narrowed as to foreclose a full view of our fellow human beings. Maybe there are times so contentious or so painful that people simply withdraw to their own silos. I’ve certainly felt that inward pull myself. There are times when a leap into someone else’s perspective feels impossible.

But leaping is the job of the writer, and there’s no point it doing it halfway. Good fiction pulls off a magic trick of absurd power: It makes us care. Responding to the travails of invented characters — Ahab or Amaranta, Sethe or Stevens, Zooey or Zorba — we might tear up or laugh, or our hearts might pound. As readers, we become invested in these people, which is very different from agreeing with or even liking them. In the best literature, characters are so vivid, complicated, contradictory and even maddening that we’ll follow them far from our preconceptions; sometimes we don’t return.

Unflinching empathy, which is the muscle the lesson is designed to exercise, is a prerequisite for literature strong enough to wrestle with the real world. On the page it allows us to spot signs of humanity; off the page it can teach us to start a conversation with the strangest of strangers, to thrive alongside difference. It can even affect those life-or-death choices we make instinctively in a crisis. This kind of empathy has nothing to do with being nice, and it’s not for the faint of heart.

Even within the safety of the page, it’s tempting to dodge empathy’s challenge, instead demonizing villains and idealizing heroes, but that’s when the needle on art’s moral compass goes inert. Then we’re navigating blind: confident that we know what the bad people look like and that they’re not us — and therefore we’re at no risk of error.

Our best writers, in contrast, portray humans in their full complexity. This is what Gish Jen is doing in the short story “Who’s Irish?” and Rohinton Mistry in the novel “A Fine Balance.” Line by line, these writers illuminate the inner worlds of characters who cause harm — which is not the same as forgiving them. No one would ever say that Toni Morrison forgives the character Cholly Breedlove, who rapes his daughter in “The Bluest Eye.” What Ms. Morrison accomplishes instead is the boldest act of moral and emotional understanding I’ve ever seen on the page.

In the classroom exercise, the upsetting phrases my students scribble might be personal (“You’ll never be a writer,” “You’re ugly”) or religious or political. Once a student wrote a phrase condemning abortion as another student across the table wrote a phrase defending it. Sometimes there are stereotypes, slurs — whatever the students choose to grapple with. Of course, it’s disturbing to step into the shoes of someone whose words or deeds repel us. Writing these monologues, my graduate students, who know what “first person” means, will dodge and write in third, with the distanced “he said” instead of “I said.”

But if they can withstand the challenges of first person, sometimes something happens. They emerge shaken and eager to expand on what they’ve written. I look up from tidying my notes to discover students lingering after dismissal with that alert expression that says the exercise made them feel something they needed to feel.

Over the years, as my students’ statements became more political and as jargon (“deplorables,” “snowflakes”) supplanted the language of personal experience, I adapted the exercise. Worrying that I’d been too sanguine about possible pitfalls, I made it entirely silent, so no student would have to hear another’s troubling statement or fear being judged for their own. Any students who wanted to share their monologues with me could stay after class rather than read to the group. Later, I added another caveat: If your troubling statement is so offensive, you can’t imagine the person who says it as a full human being, choose something less troubling. Next, I narrowed the parameters: No politics. The pandemic’s virtual classes made risk taking harder; I moved the exercise deeper into the semester so students would feel more at ease.

After one session, a student stayed behind in the virtual meeting room. She’d failed to include empathy in her monologue about a character whose politics she abhorred. Her omission bothered her. I was impressed by her honesty. She’d constructed a caricature and recognized it. Most of us don’t.

For years, I’ve quietly completed the exercise alongside my students. Some days nothing sparks. When it goes well, though, the experience is disquieting. The hard part, it turns out, isn’t the empathy itself but what follows: the annihilating notion that people whose fears or joys or humor I appreciate may themselves be indifferent to all my cherished conceptions of the world.

Then the 10-minute timer sounds, and I haul myself back to the business of the classroom — shaken by the vastness of the world but more curious about the people in it. I put my trust in that curiosity. What better choice does any of us have? And in the sanctuary of my classroom I keep trying, handing along what literature handed me: the small, sturdy magic trick any of us can work, as long as we’re willing to risk it.
